Job Summary:

The Maintenance & Facilities Manager provides strategic leadership and oversight for the organization’s service contracts. This role ensures that facilities are safe, efficient, and compliant with regulatory standards while managing all contractual agreements to optimize performance and mitigate risk. Acting as the owner’s representative for construction and renovation projects, the Manager coordinates planning, budgeting, and execution to deliver projects on time and within scope. The position requires working knowledge of healthcare facility maintenance practices, including infection-control considerations, life-safety requirements, environmental comfort, and regulatory readiness in clinical spaces. The position also requires a balance of operational expertise, contract administration skills, and project management capabilities to support organizational goals and long-term sustainability.

Key Duties and Responsibilities
Facilities Management
Mechanical & HVAC/R Systems
  • Operate, maintain, diagnose, and repair HVAC systems including RTUs, heat pumps, boilers, chillers, air handlers, and hydronic systems.
  • Replace filters, belts, bearings, sensors; calibrate thermostats and BAS setpoints.
  • Monitor and adjust BAS for comfort, efficiency, and indoor air quality.
Plumbing Systems
  • Maintain and repair fixtures, drains, pumps, traps, water heaters, and backflow devices.
  • Identify and repair leaks; clear clogs; support hot water system performance.
Electrical & Controls
  • Perform basic electrical troubleshooting within qualification limits.
  • Replace lamps, ballasts, drivers, switches, and outlets.
  • Maintain emergency/egress lighting and support low-voltage systems.
Life-Safety & Compliance
  • Conduct safety rounds and document inspections.
  • Test fire alarms, extinguishers, eyewash/showers, AEDs, and emergency lighting.
  • Support clinical regulatory readiness and maintain required documentation.
General Facility Maintenance
  • Perform carpentry, flooring repair, painting, drywall patching, and door adjustments.
  • Maintain mechanical rooms and perform seasonal snow/ice response.
CMMS & Documentation
  • Use CMMS to track work orders, PM schedules, parts, and asset history.
  • Communicate timelines, impacts, and follow-ups clearly with staff.
Vendor & Project Support
  • Coordinate with contractors; verify scope and work quality.
  • Assist with retrofits, equipment installs, and energy improvements.
Vehicle Fleet Responsibilities
  • Perform preventative maintenance on fleet vehicles (fluids, tires, lights, belts, hoses).
  • Manage vehicle check-in/check-out documentation.
  • Record mileage for each trip and maintain logs.
  • Track service intervals and schedule maintenance.
  • Verify insurance/registration and required safety equipment.
Minimum Qualifications
Education
  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, Construction Management, or related field.
  • Preferred: Master’s degree or professional certifications such as Certified Facility Manager (CFM), or Certified Professional in Supply Management (CPSM).
  • 3rd class boilers license
    • Ability to attain a 3rd class boilers license within 1 year (365 Days)
Experience
  • 5–8 years of progressive experience in facilities and/or maintenance management
  • Knowledge of HVAC/R, plumbing, electrical and building systems
  • Ability to read schematics and O&M manuals.
  • CMMS/BAS experience
  • Proven track record of managing complex service contracts and vendor relationships.
Technical Skills
  • Strong knowledge of building systems, maintenance programs, and safety regulations.
  • Expertise in contract law basics, procurement processes, and compliance standards.
  • Proficiency in project management tools and contract management software.
  • Budgeting and financial analysis skills.

  • Hours of operation Monday through Friday, 8:00 AM – 5:00 PM with one-hour lunch.
