Job summary

Dignity Health Management Services Organization is seeking a Mailroom Materials Management Analyst in Bakersfield, CA to receive, sort, process, and distribute mail and time-sensitive documents across Population Health Services Organization and Managed Care Services.

You will operate mailroom equipment, maintain records, ensure regulatory compliance, and support departments such as Utilization Management and Claims Administration while handling confidential materials with accuracy.

Qualifications

• Requires 1–2 years in logistics, warehousing, mail services, or related field.
• High school diploma or GED required.
• CA Driver's License required.
• Operates mailroom equipment (postage meters, sorting machines, scanners).
• Maintains logs of accountable mail and confidential materials.
• Basic computer & scanning proficiency.
• Knowledge of safe material-handling practices.

Job Summary and Responsibilities

As our Mailroom Materials Management Analyst, you will receive, sort, process, track, and securely distribute mail, regulatory correspondence, and packages for Population Health Services Organization and Managed Care Services operations. Every day you will manage mail services technology, process documents and time-sensitive communications, and route compliance-sensitive correspondence on time for Utilization Management, Appeals and Grievances, Delegation Management, Provider Operations, Claims Administration, and other managed care functions. To be successful in this role, you will be organized, accurate, and dependable, with careful handling of confidential and time-sensitive materials, to support operational performance, regulatory compliance, and member service excellence.

• Mail Processing — Receive, sort, weigh, scan, track, and distribute incoming, outgoing, and interoffice mail accurately and within established timeframes. Process member, provider, regulatory, and operational correspondence in accordance with departmental procedures.
• Managed Care Operations Support — Receive, date-stamp, track, and route time-sensitive documents, including utilization management requests, appeals and grievances, regulatory correspondence, and other operational communications requiring timely processing and distribution.
• Package Handling — Receive shipments from carriers and couriers, verify deliveries against packing documentation, maintain receipt records, and coordinate delivery to appropriate departments and business locations.
• Mail Systems Operations — Operate and maintain automated mailing equipment, postage management systems, scanning technology, document processing tools, and associated tracking systems. Coordinate maintenance activities, troubleshooting, and vendor support as needed to ensure continuity of operations.
• Document Tracking and Records Management — Maintain accurate tracking logs and records for accountable mail, certified mail, regulatory correspondence, and other documents requiring audit trails or documentation. Support reporting and record retention activities as required.
• Inventory Management — Monitor and maintain postage supplies, shipping materials, mailroom inventory, and operational resources necessary to support daily mail processing activities.

Job Requirements

Required

• One (1) to two (2) years of experience in logistics, warehousing, mail services, or a related field
• High school diploma or GED
• CA Driver's License
• Ability to operate mailroom equipment, including postage meters, sorting machines, and scanners
• Attention to detail and accuracy in sorting, scanning, and recordkeeping, including logs of accountable mail
• Basic computer and scanning proficiency
• Knowledge of safe material-handling and lifting practices
• Ability to maintain the confidentiality of medical records and protected health information
• Good organizational, time-management, and customer-service skills

Preferred

• Strong technical skills and high comfort level with a variety of software preferred
• Experience with Google Workspace strongly preferred
• Familiarity with VisualCron (VCron) preferred
• Experience with mailroom technology preferred
