Job summary

Icon Consultants in Bothell, WA seeks a dependable Mailroom Clerk to support daily mailroom, printing, and document-management operations in a fast-paced office.

You will process incoming and outgoing materials, maintain records, manage multiple administrative tasks, and ensure confidentiality in line with HIPAA requirements. Onsite hours are Monday–Friday, 8:00 AM–4:00 PM PT, with a 40-hour week, for a 6-month contract.

Qualifications

  • High school diploma or equivalent is required.
  • Strong verbal and written communication skills are essential.
  • Ability to maintain confidentiality and accuracy.

Responsibilities

  • Sort, date-stamp, and distribute mail and documents within deadlines.
  • Print, scan, copy, fold, mail, and file documents accurately.
  • Prepare outgoing mailings and shipments with attention to detail.
  • Maintain printers and mailroom supplies and organize documents.
  • Data entry into departmental systems with accuracy.
  • Assist with basic reporting and clerical tasks as needed.
  • Maintain HIPAA confidentiality and professional relationships.

** Mailroom Clerk**

** Key Details**

  • ** Location:** Bothell, WA 98021
  • ** Duration:** 6-month contract with potential extension or conversion
  • ** Schedule:** Monday-Friday, 8:00 AM-4:00 PM Pacific Time
  • ** Hours:** 40 hours per week; no overtime expected
  • ** Work Arrangement:** Onsite
  • ** Compensation:** $18.90-$21.00 per hour
  • ** Employment Type:** W2 (not open to C2C, 1099, or visa sponsorship)

** Role Overview**

Our client is seeking a dependable and detail-oriented professional to support daily mailroom, printing, document-management, and clerical operations. This position is responsible for processing incoming and outgoing materials, maintaining accurate records, supporting department workflows, and ensuring documents are handled efficiently and confidentially. The role requires flexibility, accuracy, strong organizational skills, and the ability to manage multiple administrative tasks in a fast-paced office environment.

** Responsibilities**

  • Sort, date-stamp, and distribute incoming mail, faxes, packages, and departmental documents within established timeframes.
  • Print, scan, copy, fold, mail, and file documents accurately and efficiently.
  • Prepare outgoing mailings and packages for shipment.
  • Maintain printers, printing areas, and mailroom supplies.
  • Organize, upload, and maintain departmental documents using multiple applications.
  • Perform accurate and timely data entry into departmental systems.
  • Monitor shared email inboxes and assign incoming work based on established procedures.
  • Create binders and other printed materials as requested.
  • Order office supplies, equipment, security access, and new-hire materials when assigned.
  • Create help desk tickets and coordinate facilities-related requests.
  • Answer department telephone calls and direct inquiries appropriately.
  • Contact members and providers regarding outreach materials when required.
  • Compile and post departmental scorecards.
  • Assist with basic reporting and clerical support needs.
  • Maintain confidentiality and comply with HIPAA requirements.
  • Build positive working relationships with coworkers, clients, members, providers, and customers.
  • Adapt to changing priorities, procedures, and departmental needs.

** Qualifications**

  • High school diploma or equivalent.
  • Up to two years of clerical, administrative, mailroom, printing, or related experience.
  • Experience using a PC in a Windows environment.
  • Proficiency with Microsoft Word.
  • Strong verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work onsite during the assigned schedule.
  • Dependable attendance and ability to manage assigned tasks within established deadlines.

** Preferred Qualifications**

  • Previous mailroom or high-volume printing experience.
  • Filing and document-management experience.
  • Customer service experience.
  • Experience with data entry, shared email inboxes, or multiple administrative applications.
  • Familiarity with healthcare, insurance, or HIPAA-regulated environments.
