Job summary

Altorfer Cat is seeking a sales coordinator to manage end-to-end machine sales processes in Cedar Rapids, IA. You will coordinate orders for machines, attachments, and work tools, arrange shipping and invoicing, and transfer equipment between Cat dealers to fulfill sales.

You will report sales activity through DBSi, establish dealer relations, coordinate PDI work, and ensure timely invoicing and documentation while supporting the sales team with accurate reporting and issue resolutions.

Responsibilities

• Coordinating all aspects of a machine sale, from machine and attachment/work tool ordering to shipment and invoicing the customer.
• Placing all orders whether stock inventory, work tools or newly acquired business; within heavy or compact product groups and may include ancillary product lines.
• Reporting all sales activity to Caterpillar through DBSi for their specific product grouping.
• Locating and/or transferring machinery to and from other Cat dealers to fulfill a sale.
• Developing good working relationships with Caterpillar dealers, Caterpillar personnel, and outside suppliers
• Effectively communicating shipping instructions/information to the Central Transportation Manager (or designated freight hauler) to ensure customer-specific instructions are achieved.
• Setting up demonstrations and equipment loaners for sales representatives, and following up with sales reps to ensure adherence to policy.
• Initiating requests to the Service Department for PDI’s, along with additional work needed per customer specifications.
• Keeping sales representatives and sales management team aware of product problems, delivery issues, etc.
• Entering received equipment, relieving sold, rented, and demo/loaned machines out of the system within 24 hours of receiving appropriate paperwork.
• Inventory and DBSi system reconciliation
• Processing all new, used and rental sales invoices to customers.
• Providing backup support for all coordinators to ensure successful execution of job functions during absence of coordinator.
• Keeping sales representatives informed as to status of sold machines.
• Providing all necessary reporting on a timely basis, including initial review so that any noncompliance or issues are effectively communicated to the Sales and Operations Manager.
