Kalologie Medspa is seeking a Spa Coordinator to support daily clinic operations and deliver a seamless, elevated client experience within a structured, fast-paced environment. You will manage appointment scheduling, client communications across phone, text, and digital platforms, and frontline operations while collaborating with clinical and leadership teams to drive clinic performance and growth.

Qualifications

• Prior experience in customer service, hospitality, or spa/wellness settings.
• Strong communication and interpersonal skills with a client-first mindset.
• Ability to multitask and stay organized in a fast-paced environment.
• Detail-oriented with a high level of accuracy and accountability.
• Availability to work evenings and weekends.

Responsibilities

• Deliver a high-quality, welcoming client experience from arrival through checkout.
• Manage appointment scheduling, rescheduling, and client communications across phone, text, and digital platforms.
• Support clinic flow by coordinating provider schedules and daily bookings.
• Process transactions accurately and efficiently.
• Educate clients on services, memberships, and offerings to support clinic performance.
• Maintain a clean, organized, and professional front-of-house environment.
• Assist with opening and closing procedures and general administrative tasks.
• Support local outreach efforts and in-clinic events as needed.
• Collaborate with the team to ensure smooth day-to-day operations and client satisfaction.
