Job summary

The Joseph, a Luxury Collection Hotel in Nashville, seeks a Groups Reservations Coordinator to manage group bookings from contract through guest arrival, ensuring accurate setup and seamless communication.

You will collaborate with Sales, Catering & Events, Revenue Management, Front Office, and Accounting to coordinate deposits, rooming lists, and VIP arrivals, while preserving confidentiality and delivering the elevated service expected of a Forbes-rated property.

Qualifications

• Experience coordinating group reservations and room blocks.
• Familiarity with tools like Lightspeed and Delphi.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication.
• Ability to collaborate with Sales, Catering & Events, Revenue Management, Front Office, and Accounting.

Responsibilities

• Build and maintain group room blocks in Lightspeed per contracts.
• Review contracts, resumes, and docs for accurate setup and billing.
• Manage rooming lists and group reservations changes.
• Monitor pickup and attrition; communicate trends to Sales/Revenue.
• Coordinate deposits, payments, routing, and billing with Accounting.
• Prepare group resumes, VIP lists, pre-arrival reports.
