Job summary

Caltech in Pasadena seeks a Stockroom Assistant to coordinate shipping/receiving and stockroom functions for the Division of Chemistry and Chemical Engineering. The role also provides support to the Divisional Purchasing Office by handling recurring monthly charges and placing orders for non-inventory items.

Qualifications

• 2+ years of related work experience.
• Must possess, or be able to obtain, a California Driver's License by date of hire.
• Ability to lift 50 pounds and perform walking between buildings.
• Good interpersonal skills with faculty, staff, and vendors.
• Flexibility to work early mornings, evenings, and weekends when necessary.

Responsibilities

• Prepare incoming goods for delivery throughout the CCE Division.
• Match packing slips and purchase orders to ensure full or partial shipment.
• Deliver all items received to lab drop-off points throughout the CCE Division.
• Perform online receiving and complete accounts payable paperwork in Caltech systems.
• Identify mis-shipments and arrange returns/credits with vendors.
• Prepare bills of lading and other shipping documents; coordinate with Transportation Dept.
• Interact with researchers and vendors to resolve bottlenecks.
• Maintain a clean and safe Shipping/Receiving/Stockroom area.
• Coordinate laundry services and lab coat marking for division labs.
• Provide equipment loan logs and rental coordination.
• Assist with setup and takedown of Division events and coordinate with Facilities Manager.
• Track missing items and respond to inquiries from division personnel and vendors.
