Job summary

Ascentek is seeking an Operations Coordinator to support dispatch, tracking, and billing. The role ensures loads move smoothly from booking through invoicing by maintaining accurate data, monitoring progress, and providing excellent service to drivers and customers.

Responsibilities include daily load monitoring, driver communications, and administrative duties, enabling the Dispatch Manager to focus on optimization and relationships. 1–3 years of related experience is preferred.

Qualifications

• 1-3 years of dispatch, transportation, logistics, customer service, or administrative experience preferred.
• Experience using transportation or dispatch software preferred.
• High school diploma or equivalent required.
• Associate degree in logistics, transportation, business, or related field preferred.

Responsibilities

• Enter load information into transportation management systems.
• Create and distribute dispatch information to drivers.
• Verify load details, appointment information, and special instructions.
• Assist with scheduling and load coordination activities.
• Monitor daily load progress and shipment status.
• Conduct check calls and follow-up communications with drivers.
• Update load statuses within transportation systems.
• Communicate shipment updates to customers and brokers.
• Escalate service disruptions or concerns to the Dispatch Manager.
• Collect and organize proof of delivery (POD) documentation.
• Verify load documentation is complete and accurate.
• Support load closeout processes.
• Prepare billing packets for invoicing.
• Verify rate confirmations, load details, and supporting documentation match operational records.
