Job summary

Flexible IT in Hauppauge, NY is seeking a Logistics Administrator to support orders, vendor purchases, shipments, returns, warranty claims, and fulfillment exceptions. The role focuses on accurate entry, tracking, documentation, and proactive follow-up with clients, vendors, and internal teams.

The ideal candidate is detail-oriented, organized, and able to investigate discrepancies while communicating clearly with stakeholders. Knowledge of NetSuite or ERP systems is a plus.

Qualifications

• 1–3 years of experience in order processing, purchasing, logistics, returns administration, or related roles.
• Strong attention to detail and data accuracy.
• Excellent organizational and time-management skills.

Responsibilities

• Process client orders for hardware, software, licenses, cloud services, supplies, and accessories.
• Create, review, and maintain related orders and authorizations.
• Submit purchase orders, verify pricing, availability, and shipping details.
• Obtain confirmations, tracking, serials, licenses, and fulfillment docs.
• Monitor open orders, backorders, and shipments.
• Provide timely status updates to project managers and teams.
• Coordinate returns, including authorization, shipping, and credits.
• Handle warranty claims and replacement requests.
• Investigate discrepancies such as missing items or pricing variances.
• Document communications and resolutions in systems.
