Job summary

Provisional Recruiting + Staffing is seeking a Customer Service and Order Management Specialist to serve as the primary contact for customers and vendors. You will manage inquiries, support order fulfillment, tracking, returns, refunds, shipping, and billing across multiple systems, with NetSuite preferred.

The ideal candidate has 1–3 years in related roles, strong communication, and excellent organizational skills.

Qualifications

• 1–3 years of experience in customer service, order fulfillment, or e-commerce operations.
• Strong verbal and written communication skills.
• Excellent organization and attention to detail.
• Experience with an ERP or order management system; NetSuite preferred.
• Basic knowledge of accounts payable and accounts receivable.
• Proficiency with email, spreadsheets, and standard office software.
• Ability to manage multiple priorities and remain professional when handling customer concerns.
• High school diploma or equivalent; business/accounting coursework preferred.
• Familiarity with FedEx, UPS, LTL freight, or AI tools such as ChatGPT is a plus.

Responsibilities

• Respond to customer and vendor calls and emails and resolve issues promptly.
• Manage customer cases and orders in NetSuite.
• Track shipments, coordinate deliveries, and communicate updates to customers.
• Process returns, refunds, and freight claims.
• Assist with accounts payable, accounts receivable, invoicing, and reconciliations.
• Coordinate with vendors, carriers, and warehouse teams.
• Monitor and reconcile inventory.
• Maintain accurate documentation and confidential customer/payment information.
• Identify opportunities to improve processes and reduce repetitive work.
