Qualifications

  • Bachelor’s degree in business, logistics, or supply chain required.
  • Fluent English with strong written and verbal skills.
  • Strong numerical and analytical skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Experience with ERP systems is a plus.

Responsibilities

  • Coordinate end-to-end shipment coordination and documentation.
  • Manage production schedules and monitor inventory across locations.
  • Reconcile monthly inventory audits and investigate discrepancies.
  • Create and maintain ERP records (POs, SOs, receipts, fulfillments).
  • Work with 3PLs and carriers to ensure on-time order fulfillment.

Job description

Ground Up Coffee & Tea has an exciting opportunity for a proactive, detail-oriented Logistics Coordinator to join a fast-growing, entrepreneurial company in the specialty beverage industry. As a New York-based importer, developer, and distributor of coffee and tea solutions, GUCT operates at the intersection of manufacturing, logistics, and consumer demand — where timing is everything and no two days are the same.

The Logistics Coordinator will support end-to-end shipment coordination, production and inventory management, and shipping and receiving documentation. This role is ideal for a proactive, detail-oriented professional who thrives in fast-paced environments and is energized by problem-solving and the unpredictability of international trade and logistics.

Key Responsibilities
Shipment Coordination
  • Coordinate end-to-end logistics for international shipments, working closely with manufacturing partners, freight forwarders, ocean carriers, customs brokers, drayage providers, and destination facilities.
  • Monitor inbound shipments across various transportation modes and maintain accurate, real-time shipment records in the ERP system.
  • Proactively communicate shipment statuses, anticipated delivery timelines, and potential delays to internal stakeholders.
  • Process, manage, and release customer orders from domestic 3PL warehouses and arrange FTL/LTL freight through the transportation management portal.
  • Identify and elevate logistics issues such as delays, damages, accessorial charges, documentation discrepancies, or inventory shortfalls, providing relevant information and recommended next steps.
  • Coordinate with internal and external partners to ensure shipments are executed accurately and according to established timelines.
Production & Inventory Management
  • Coordinate production schedules with manufacturing partners based on forecasted demand and delivery timelines with respect to lead times.
  • Monitor inventory levels across all locations and communicate replenishment needs based on lead times, usage trends, and upcoming requirements.
  • Assist with forecasting, purchasing, and production planning activities to support targeted demand.
  • Reconcile monthly inventory audits from 3PLs and investigate discrepancies in coordination with internal teams and warehouse partners.
  • Review and manage shipping and receiving documentation, including bills of lading, ISF filings, packing lists, and other import documentation.
  • Maintain a strong understanding of account-specific requirements, including special shipping instructions, labeling and packaging requirements, delivery appointments, documentation, routing guidelines, and other customer-specific procedures.
  • Accurately create and maintain ERP transaction records, including purchase orders, sales orders, item receipts, fulfillments, and related inventory transactions.
  • Coordinate with 3PLs and transportation providers to ensure customer orders are fulfilled accurately and on schedule.
Qualifications
Required
  • Bachelor’s degree in business, logistics, supply chain, or a related field.
  • Fluent in English, with strong written and verbal communication skills.
  • Strong numerical and analytical skills.
  • Microsoft Office experience is a must (Excel, Word, PowerPoint, Outlook)
  • Proficient across all communication platforms (email, messaging, phone, and in person).
  • Attention to detail is critical to this position.
  • Ability to manage multiple priorities and be a team player in a fast-paced environment.
Preferred
  • 1-3 years of corporate experience in a similar role.
  • Familiarity with ERP systems (NetSuite/Oracle).
  • Background in wholesale, manufacturing, or import/export distribution, with food/beverage experience preferred.
  • Spanish or Portuguese language skills a plus.
