Job summary

Wilen is seeking a Logistics Assistant to support daily warehouse and transportation operations, ensuring materials and goods reach destinations safely and on time. You will work closely with the Logistics Manager, carriers, and warehouse staff to maintain accuracy in shipping processes.

The ideal candidate has 3–5 years of logistics experience, strong communication skills, and proficiency with MS Office and shipping software.

GENERAL DESCRIPTION:

The logistics assistant makes sure materials and goods reach their destination in a timely and safe manner. They work closely with vendors, warehouse staff, and transportation providers to maintain efficiency and accuracy in logistics processes.

RESPONSIBILITIES (including, but not limited to):

• Work closely with the Logistics Manager and Logistics Coordinator to support daily warehouse and transportation activities.
• Assist with scheduling and tracking shipments to ensure timely pickup, transit, and delivery.
• Communicate with carriers to confirm pickup appointments, delivery details, shipment status, and any service changes.
• Help with warehouse operations, including receiving, inspecting, organizing, storing, and dispatching goods.
• Plan and coordinate all shipments leaving the building each day in accordance with customer requirements and business priorities.
• Contact vendors and carriers to arrange truckload and LTL freight shipments.
• Prepare, verify, and stage outgoing shipments according to customer orders, carrier requirements, and company procedures.
• Generate, review, and maintain shipping documents, including bills of lading, packing slips, delivery notes, POD records, and related logistics paperwork.
• Maintain accurate inventory and shipment records using warehouse management systems, spreadsheets, or other tracking tools.
• Maintain accurate daily mail piece delivery schedules to ensure delivery volumes are balanced and aligned with customer requirements and operational needs.
• Review weekly shipment requirements and determine the most efficient and cost-effective shipping methods to meet customer requirements and delivery deadlines.
• Support BOL creation, POD tracking, and related logistics documentation processes.
• Coordinate with warehouse staff, drivers, vendors, carriers, and internal departments to support timely movement of goods.
• Monitor stock levels and report shortages, damages, discrepancies, or delays to the appropriate supervisor.
• Assist with cycle counts, physical inventory activities, and reconciliation of inventory variances.
• Follow all company policies, warehouse procedures, and health and safety regulations.
• Perform additional responsibilities as assigned.

REQUIRED QUALIFICATIONS:

• High school diploma or associate’s degree
• Minimum 3-5 years business / shipping related experience
• Experience in working in more than one area of Logistics, such as warehousing or transportation
• Ability to read and evaluate industry related information
• Must be able to establish and maintain effective working relationships with employees and vendors
• Superior communication skills, both oral and written
• Ability to work with Microsoft Office, FedEx Ship Manager Software
• Contributes to team effort by accomplishing related results in a timely manner

PREFERRED QUALIFICATIONS:

• Experience using warehouse management systems, ERP systems, barcode scanners, or inventory tracking software.
• Forklift, pallet jack, or material handling equipment experience or certification preferred, if applicable.
• Knowledge of shipping carriers, freight procedures, and warehouse safety practices.
• Knowledge of LTL and full truckload transportation, including route planning and load optimization.

PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT:

• Ability to stand, walk, bend, reach, and lift for occasionally during the workday.
• Ability to lift, carry, push, and pull materials up to company-defined weight limits, with or without reasonable accommodation.
• Work is performed in a warehouse environment that may include exposure to varying temperatures, noise, moving equipment, and high-traffic areas.
• Must follow required personal protective equipment and safety procedures at all times.
