Job summary

BMW of Santa Monica is seeking a detail-oriented Loan Desk Coordinator to support the Service Department and provide guests with a smooth loan car experience. You will manage daily loaner reservations, check-outs, returns, and ensure vehicles are ready and properly documented.

In this role you will verify loan car agreements and insurance information, explain policies to customers, inspect vehicle condition at checkout and return, and collaborate with Porters and service staff to maximize

• Strong organizational skills and ability to manage multiple reservations and priorities.
• Excellent customer service and clear communication with guests and team.
• Attention to detail when reviewing agreements, vehicle condition, and records.
• Ability to anticipate scheduling or availability issues and communicate changes.
• Dependable, accountable, and able to follow established procedures.
• Collaborative work with Service Advisors, Porters, and management.
• Valid driver’s license and ability to meet dealership requirements.

Responsibilities

• Coordinate daily loaner vehicle reservations, assignments, check-outs, returns, and availability.
• Ensure loan car agreements, insurance info, and signatures are complete before release.
• Explain loan car policies, fuel/charging expectations, and customer responsibilities.
• Inspect and document vehicle condition at check-out and return, report issues.
• Coordinate with Porters and staff to keep loaners clean, fueled, and ready.
• Monitor reservations and fleet availability to minimize wait times.
• Process returned vehicles and update status; coordinate maintenance if needed.
