Job summary

  • Experience tracking, managing, renewing, and maintaining enterprise software licenses and maintenance agreements.
  • Knowledge of software license compliance, vendor licensing requirements, and software usage rights.
  • Experience maintaining software inventories, license repositories, and asset management databases.
  • Ability to monitor software maintenance and license expiration dates while coordinating timely renewals.
  • Experience reconciling software entitlements, installations, and license utilization to ensure compliance and cost optimization.
  • Knowledge of software procurement processes, maintenance contracts, and vendor support agreements.
  • Experience maintaining accurate software asset records, proof of entitlement, license keys, installation media, and technical documentation.
  • Ability to analyze software consumption trends and identify opportunities for license optimization and cost savings.

Responsibilities

  • Track, renew, and balance software licenses maintaining compliance and cost control.
  • Develop and implement License Management and Tracking Procedures for each software license and maintenance category.
  • Record software license transfers in the Asset Management System within two business days of completion.
  • Provide advance notification of upcoming maintenance, warranty, and license expirations at 30, 60, 90, and 180 day intervals.
  • Flag each license in the Asset Management System for renewal notification at six months and three months prior to expiration.
  • Confirm renewal terms with DT/EA/CST after the six month notification and process renewals within six months of expiration with AAS COR approval.
  • Maintain the license data repository covering vendor, software name and version, authorized users or devices, fees, and license and maintenance dates.
  • Maintain the centralized software library including media, proof of entitlement, usage rights, installation codes, and offsite duplication for disaster recovery.
  • Monitor software maintenance and license expiration dates while coordinating timely renewals.

AC4S LLC is currently seeking a License Management Specialist to join their team in Northern Virginia. Physical Requirements
  • Footwear: Steel-toe boots or steel-toe protective shoes are required at all times while performing warehouse duties or handling IT equipment.
  • Lifting and Carrying: Ability to lift, carry, and move IT equipment and boxed assets weighing a minimum of 40 pounds. Occasional lifting of items above this weight may be required with proper team-lift procedures.
  • Standing and Walking: Ability to stand and walk for extended periods throughout the workday, including walking between storage areas, staging zones, and inventory stations.
  • Bending, Stooping, and Reaching: Regular bending, kneeling, stooping, and reaching to access shelves, pallet racks, and inventory locations.
  • Pushing and Pulling: Ability to push or pull carts, pallet jacks, or other equipment used to transport IT assets within the warehouse environment.
  • Manual Dexterity: Sufficient hand and finger dexterity to safely unbox, label, scan, connect, and prepare IT hardware and accessories.
  • Environmental Conditions: Ability to work in a warehouse setting with variable temperatures, concrete flooring, and active movement of equipment and personnel. May require use of basic PPE such as gloves or safety glasses depending on task.
  • Equipment Operation (if applicable): Ability to safely operate non-powered material handling equipment (e.g., carts, dollies, pallet jacks). No forklift operation is assumed unless separately certified and required.
