Responsibilities

  • Draft, format, prepare, proofread, and revise comprehensive legal documents.
  • Review all incoming mail, faxes and emails and prepare outgoing mail.
  • Open new files for new matters and run conflict searches for new cases.
  • Organize and manage client files, scan, save electronically, and destroy data as appropriate.
  • Communicate professionally with attorneys, clients, opposing counsel, and adjusters by email and phone.
  • Review, distribute and electronically save daily incoming mail and faxes.
  • Schedule and calendar depositions, hearings, mediations, and trials for assigned attorneys.
  • E-file in state and federal courts and agency filings.
  • Print and circulate e-filed documents.
  • Enter, review and release time for attorneys as directed.
  • Prepare for trial by organizing documents and evidentiary exhibits.
  • Update client case lists and trial/mediation lists for accuracy.
  • Prepare attorney expense reports and travel arrangements.
  • Review pre-bills for accuracy and distribute; send invoices to clients.
  • Provide coverage for other assistants while out on PTO.

Job description

The legal assistant plays an important role in supporting legal professionals in the delivery of legal services to clients. The legal assistant is responsible for providing administrative and clerical support to multiple attorneys. Duties include drafting legal documents, managing case files, assisting with trial preparation, communicating with clients and maintaining confidentiality of sensitive information related to cases and clients.

What you’ll do
  • Draft, format, prepare, proofread, and revise comprehensive legal documents.
  • Review all incoming mail, faxes and emails.
  • Prepare outgoing mail for attorney's review.
  • Open new files for new matters and new clients, including running conflict searches for new cases.
  • Organize and manage client files by scanning, naming, saving electronically and destroying, when appropriate, client data in paper and electronic formats.
  • Effectively and professionally communicate with attorneys, clients, opposing counsel, and adjusters by email and phone.
  • Review, distribute and electronically save daily incoming mail, legal documents, hand-deliveries and faxes.
  • Schedule and calendar depositions, hearings, mediations, inspections; calendar pre-trial conferences, and trials for assigned attorneys.
  • E-filing in state and federal courts and agency filings.
  • Print and circulate e-filed documents.
  • Answer attorney calls and take messages; forward calls as appropriate.
  • Enter, review and release time for attorneys as directed.
  • Prepare for trial by organizing documents, binders, charts, graphs and other evidentiary exhibits under the direction of a paralegal and/or attorney.
  • Assemble binders for depositions and mediations.
  • Update client case lists to ensure accuracy.
  • Update trial, mediation and case lists to ensure accuracy.
  • Prepare attorney expense reports.
  • Make travel arrangements for attorneys.
  • Review pre-bills for accuracy and distribute; send invoices to clients.
  • Provide coverage for other assistants while out on PTO.
  • Assist with training new hires.
  • Complete all other projects/duties as assigned.
