Job Overview
Provide full administrative support to up to four San Diego‑based attorneys in employment litigation, class action, and related matters. Manage calendars, file documents, coordinate discovery, and support litigation efforts.
Key Responsibilities
- Prepare and revise correspondence, pleadings, discovery documents, and administrative filings for state and federal courts.
- Maintain electronic case files and ensure accurate naming and searchability.
- Manage attorney calendars, schedule depositions, mediations, arbitrations, and client meetings.
- Book and organize travel arrangements (flights, hotels, transportation) and handle itinerary changes.
- Run conflict checks and assist with opening new client engagements in collaboration with the new business team.
- Coordinate docketing, serve as liaison between attorneys, internal departments, and outside agencies.
- Prepare notarized or binding documents such as tables of authorities, contents, and exhibits.
- File e‑filings, discovery submissions, and other court documents in a timely manner.
- Process vendor invoices and submit monthly expense reports for attorneys.
- Monitor CLE needs, assist with bar admissions, and maintain attorney records.
- Provide occasional backup support and perform other administrative duties as assigned.
Qualifications
- Minimum 5–7 years experience as a legal secretary in California civil litigation.
- Strong knowledge of California state and federal rules and procedures.
- Experience in labor and employment law, and class action litigation is preferred.
- Excellent typing, proofreading, and Microsoft Office skills.
- Ability to multi‑task, prioritize, and manage multiple deadlines under tight schedules.
- Strong verbal and written communication, client‑service mindset, and analytical problem‑solving ability.
- Experience generating tables of authorities and tables of contents.
- Professional, reliable, team‑oriented, and proactive in taking initiative.
- Must be able to support up to four attorneys simultaneously.
Compensation and Benefits
- Hourly range: $35.00 – $41.00 (dependent on experience).
