Job summary

Jackson Lewis P.C. in California seeks a highly organized Legal Secretary to support multiple labor and employment litigation attorneys. You will prepare and revise correspondence and pleadings, perform e-filing, conduct legal research, and maintain calendars and time records.

Qualifications

  • At least three years of recent experience in a legal administrative assistant role within a law firm supporting litigation attorneys.
  • Experience with labor and employment law is a plus.
  • Familiarity with state and federal rules and procedures, including procedures with state and federal agencies.
  • Strong understanding of technical legal terminology and court filings.
  • Experience with trial preparation and briefs.
  • Strong verbal and written communication and proofreading skills.
  • Ability to respond timely to deadlines, balance workload, and take initiative.
  • Proficiency with OfficeSuite (Outlook, Word, Excel, PowerPoint).
  • Experience with law-firm software (billing, expense, document management) is a plus.
  • Strong interpersonal skills and ability to work well in a small, cooperative office environment.

Responsibilities

  • Provide support to four or more attorneys in employment law matters and backup support as needed.
  • Act as liaison between internal departments and outside agencies.
  • Prepare and revise correspondence, pleadings, documents and other clerical assignments as directed.
  • Handle a wide variety of complex, confidential, time-sensitive material.
  • Work with teams to complete conflict checks and open new client engagements as requested.
  • Communicate with clients on a regular basis.
  • Assist with billing review, inquiries and collections.
  • Maintain calendars, CLE, reports and time records.
  • Book and organize travel arrangements and assist with expense reimbursement.
  • Maintain docketing for litigation attorneys.
  • Transcribe electronic dictation and schedule depositions.
  • Proofread documents.
  • Perform additional office administrative functions as needed.

Overview

Legal secretary supporting multiple labor and employment litigation attorneys (4+) by providing comprehensive administrative support, including the preparation and revision of correspondence, pleadings, documents, e‑filing, legal research, calendar maintenance, and various office and client filing. The role also involves broad office‑wide administrative functions and requires a highly organized, detail‑oriented team player with at least three years of recent litigation secretary experience, including electronic filing.

Educational Requirements: High school diploma or equivalent required; 4‑year college degree preferred.

Salary

For California, the expected salary range for this position is between $39.00 and $47.00 per hour. The actual compensation will be determined based on experience and other factors permitted by law.
