Job summary

Fisher Phillips LLP is seeking a skilled Legal Secretary to support our attorneys and ensure smooth operation of our Phoenix office. This role emphasizes accurate document formatting, e-filing, calendar management, and travel coordination within a fast-paced law firm environment.

The ideal candidate has 5+ years in legal secretarial work, preferably in litigation, with strong MS Office skills and familiarity with legal databases and filing procedures.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • Minimum five years of experience as a legal secretary, preferably in litigation.
  • Experience with LexisNexis, PACER, ECF, Aderant Milana preferred.
  • Strong knowledge of legal terminology, documents, and procedures.
  • Demonstrated ability to format and update tables of contents and authorities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with document management, time-entry software, e-filing, and legal databases.
  • Strong organizational skills, attention to detail, and deadlines management.
  • Excellent written and verbal communication skills; able to work independently and collaboratively.

Responsibilities

  • Update and maintain client files.
  • Manage attorney calendars using Outlook and Milana; schedule appointments.
  • Organize travel arrangements for assigned attorneys.
  • Enter, review, and revise timekeeper entries with proper task codes.
  • Prepare attorney reimbursement and mileage submissions.
  • Review vendor invoices; prepare check requests and submit for payment.
  • Participate in prebills and client invoices processing.

Job description

Fisher Phillips, a premier international labor and employment law firm, is seeking a skilled and experienced Legal Secretary to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.

Key Responsibilities
  • Format briefs, pleadings, correspondence, and other legal documents.
  • File legal documents with state and federal courts; e-filing experience is preferred.
  • Proofread all documents carefully and consistently to ensure accuracy and completeness before distribution or filing.
  • Update and maintain client files.
  • Manage attorney calendars using Outlook and Milana, including scheduling appointments and calendaring deadlines.
  • Organize and coordinate travel arrangements for assigned attorneys.
  • Accurately enter, review, and revise timekeeper entries, including the consistent use of litigation task codes, when applicable.
  • Prepare attorney reimbursement and mileage submissions.
  • Review vendor invoices for accuracy, prepare check requests, and submit invoices promptly to clients or the Accounting Department for payment.
  • Participate in the timely review and submission of prebills and client invoices.
Requirements
