Job summary

Quarles & Brady LLP is seeking a Matter Mobility Specialist to manage client data transfers, oversee matter mobility for lateral hires and departures, and ensure security and ethical compliance across offices. The role involves collaboration with IT, Records and external partners to handle physical and electronic files efficiently.

Candidates should bring 3–5 years of legal operations experience, strong organizational skills, and proficiency with MS Office, iManage, or NetDocuments.

Qualifications

• Minimum 3–5 years in legal operations, records governance, or IT litigation support with matter mobility focus.
• Strong attention to detail and accuracy in handling large data sets.
• Proficiency with document management systems and Excel.

Responsibilities

• Coordinate secure importing, exporting and internal migration of client files and information.
• Support firm-wide electronic file transfers, including attorney transfers and client data movements.
• Communicate with internal and external stakeholders.
• Create and maintain matter-tracking spreadsheets and manage large data volumes.
• Coordinate Everlaw/Disco databases for large file review projects.
• Perform quality control on outgoing files to ensure only authorized records are exported.
• Assist with governance, procedures updates, and staff training.
