Adams & Martin Group in Clayton, Missouri, is seeking an Intake Specialist who is welcoming, organized, and detail‑oriented to be the first point of contact for prospective clients. This on‑site role thrives in a fast‑paced legal setting and emphasizes exceptional customer service.

You will gather client information, initiate conflict checks, schedule consultations, communicate fees and payment procedures, and maintain orderly intake records.

Qualificações

• High school diploma or equivalent required.
• Prior administrative, customer service, call center, or professional office experience preferred.
• Previous law firm experience is a plus but not required.
• Proficiency with Microsoft Office applications.
• Ability to learn and navigate firm-specific software and systems.
• Strong written and verbal communication skills.

Responsabilidades

• Serve as the primary point of contact for prospective clients via phone, email, and online inquiries.
• Gather and document prospective client information accurately and efficiently.
• Initiate conflict checks and coordinate the intake process before scheduling consultations.
• Schedule consultations with attorneys and legal staff.
• Communicate consultation details, fees, and payment procedures to prospective clients.
• Prepare appointment confirmations, reminders, and coordinate scheduling changes as needed.
• Ensure attorneys receive all relevant intake information before consultations.
• Maintain organized intake records and follow up on pending inquiries.
• Collaborate with attorneys, management, and support staff to ensure an efficient intake process.
• Assist with administrative projects and special assignments as needed.
• Identify opportunities to improve intake procedures and the overall client experience.
• Track intake metrics, including inquiry volume, consultation‑to‑retention rates, follow‑up activity, and reasons prospective clients do not retain the firm.
• Prepare intake reports, identify trends, and provide recommendations to improve client conversion and follow‑up processes.
