Job summary

Gibson Dunn, based in Washington, D.C., is seeking a Legal Executive Assistant to support assigned attorneys with high-level administrative services and practice coordination.

In this role you will coordinate calendars, prepare reports and materials, enter time, edit documents, manage travel itineraries, oversee client onboarding and billing, and collaborate with firm departments to deliver seamless service.

Qualifications

  • 5+ years relevant experience, preferably in a legal environment.
  • Excellent verbal and written communication and organizational skills.
  • Ability to work independently and with a team in a fast-paced setting.

Responsibilities

  • Provide executive support to partners and counsel as part of a legal executive assistant team.

Based in Washington, D.C., the Legal Executive Assistant will be responsible for working with their assigned attorney(s) to coordinate daily activities and provide the highest level of administrative support and practice coordination.

This role reports to the local Legal Administrative Services Manager and Director of Administration, taking daily direction from their assigned attorneys.

Responsibilities
  • Provide executive support as part of a team of Legal Executive Assistants to a group of partners and of counsel attorneys.
  • Collaborate closely with assigned attorneys to effectively manage day-to-day coordination of the attorneys’ respective practices.
  • Manage a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, entering time, editing documents, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, and answering telephone calls.
  • Manage client onboarding, billing, and relationship management activities.
  • Organize complex domestic/international travel arrangements, with detailed itineraries both personal and professional. Coordinate flights, hotel accommodations, car service, visas, dining reservations, etc.
  • Team-oriented mentality. Provide back-up support to peers. Liaise with other firm departments and key stakeholders to complete tasks effectively and efficiently.
Qualifications
  • Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands with minimal supervision.
  • Exceptional verbal and written communication and people skills, with the ability to collaborate effectively with diverse stakeholders and clients. Collaboration and facilitation skills to work with various departments and facilitate their ability to work with each other.
  • Ability to work independently and with a team, and to delegate and manage resources effectively.
  • Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.
  • High level of integrity and discretion in handling confidential information.
  • Self-starter with demonstrated instances of taking initiative.
  • Creative thinker who is resourceful and anticipatory of the needs of their assignments.
  • Flexibility to work overtime and weekends, based on department needs is required.
Experience
  • 5+ years relevant experience required, preferably in a legal environment.
  • Highly skilled in Microsoft Office Suite and ability to quickly learn and utilize industry specific computer applications.

The annual compensation range for this position is $90,000 – $110,000. The salary offered within this range will depend upon qualifications and other operational considerations.
