Overview:
We are hiring a Legal Executive Assistant for a solo law firm in the Legal Services (Estate Planning & Probate) industry.
This is a Part-Time remote role for a US-based client. The role is focused on intake coordination, client communications, document automation and preparation, task tracking, and light content posting.
The ideal candidate is proactive, detail-oriented, tech-savvy, and an exceptional communicator with a growth mindset.
Key Responsibilities:
- Manage the new client intake pipeline in the CRM (e.g., Clio Grow): collect missing information, follow up with prospects/clients, and keep records current
- Coordinate client communications via email and messaging; handle routine FAQs and information requests with professionalism
- Prepare estate planning documents using templates (e.g., Gavel): populate data, organize files/folders, and stage drafts for attorney review
- Support probate/succession matters with accurate data entry into document automation tools (e.g., HotDocs/AYLA) and generate first-pass forms
- QC and proofread documents for grammar, formatting, and consistency; apply file-naming conventions and version control
- Schedule client signings and appointments; manage calendars, confirmations, and reminders
- Maintain task boards and workflows in Trello; provide a morning brief and daily status updates
- Create and improve SOPs, checklists, and simple Loom/video guides to document processes
- Distribute provided content to social channels (e.g., Facebook, YouTube, etc.); handle basic posting and scheduling
- Coordinate light local SEO tasks (nice-to-have), such as updating business listings or collaborating with external vendors
Required Qualifications:
- 2+ years of experience as a Legal Assistant, Executive Assistant, or similar role in a law firm or legal services environment
- Strong client-facing communication skills with clear, articulate spoken and written English
- Proven experience with document templates/automation and meticulous attention to detail
- Ability to manage multiple priorities, meet deadlines, and follow structured workflows
- High level of discretion and professionalism handling confidential client information
Preferred Qualifications:
- Experience in estate planning and/or probate/succession processes
- Prior work supporting a solo attorney or small firm, owning end-to-end administrative workflows
- Familiarity with Louisiana succession terminology and forms (nice-to-have)
- Experience creating SOPs, checklists, and simple training resources
Required Skills & Tools:
- Clio Manage and/or Clio Grow (or similar legal CRM/Practice Management tools)
- Gavel and/or HotDocs-based systems (e.g., AYLA) for document automation (or willingness to learn quickly)
- Trello (or similar task/project management tools)
- Google Workspace or Microsoft Office (Docs/Word, Sheets/Excel)
- Social media platforms for basic content posting; familiarity with Canva or AI design tools is a plus
Schedule & Pay:
- Part-Time position ; core working hours 7:30 AM – 11:30 AM Central Time , Monday–Friday (with some flexibility)
- Fully remote role for a United States based client
- Pay ranges from ZAR 7,000 to ZAR 13,000 per month , depending on experience
- Includes training support, growth potential (path to full-time over time), and long-term stability
