About the Role

We are seeking a proactive and detail-oriented Client Intake Specialist to serve as a primary point of contact for prospective and existing clients while providing administrative support to our team. The ideal candidate will have prior experience working with U.S. law firms or U.S. legal matters and will excel in client communication, intake, scheduling, organization, and coordination.

Key Responsibilities
  • Serve as a primary point of contact for client calls, emails, and social media inquiries, providing professional and knowledgeable support to clients and prospective clients
  • Screen inquiries, identify client needs, schedule consultations, and guide prospective clients through the intake process
  • Build rapport with clients, follow up on inquiries, and support the conversion of leads into retained clients, meeting monthly sales and consultation targets
  • Manage calendars, inboxes, communications, and deadlines while providing day-to-day operational support to the management team
  • Maintain accurate and up-to-date client records using CRM systems, including tracking interactions, follow-ups, and intake progress
  • Apply knowledge of U.S. legal processes and terminology when communicating with clients, screening inquiries, and coordinating consultations
  • Accurately identify and elevate inquiries that require attorney review or legal guidance
Qualifications
  • Minimum of 2 years of experience in client relations, customer service, administrative support, or a related role (required)
  • Bachelor's degree in communications, business administration, or related field preferred
  • Prior professional experience working with U.S. law, a U.S.-based law firm, or U.S. legal matters (required)
  • Experience in U.S. immigration law or another area of U.S. law is strongly preferred
  • Working knowledge of U.S. legal terminology, legal processes, and client intake procedures
  • Familiarity with CRM software, virtual communication tools, and scheduling applications
  • Proficiency in Microsoft Office Suite, email management systems, and virtual collaboration tools
  • Strong interpersonal skills, attention to detail, and ability to multitask
  • Reliable internet connection and dedicated home office setup
  • Strong written and verbal English communication skills
  • Professional and confident communication skills when interacting with clients regarding legal services
  • Ability to understand, organize, and accurately document client information while maintaining confidentiality
  • Familiarity with communicating through social media platforms such as Facebook, Instagram, WhatsApp, and LinkedIn
Working Hours

The standard working hours for this role are 8:00 AM to 5:00 PM Pacific Time (PST). However, alternative shift arrangements may be considered to accommodate the vast time difference.
