LEGAL EXECUTIVE ADMINISTRATIVE ASSISTANT - CORPORATE

Williams Mullen is seeking a Legal Executive Administrative Assistant with 3-5 years of experience to provide high-level administrative and operational support to our Chief Operating Officer. This role involves managing calendars, coordinating meetings, handling correspondence, and assisting with various tasks to support the COO's responsibilities in overseeing firm operations. The position also supports attorneys in the corporate practice area. The ideal candidate will have excellent administrative and legal skills, be professional, well-organized, detail-oriented, a self-starter, and possess excellent oral and written communication skills. Ability to prioritize assignments and work well under pressure is essential. Proficiency in Microsoft Word, Excel, PowerPoint, Aderant, and Outlook is required.

Job Responsibilities
  1. Provide administrative support to the COO and attorneys related to firm operations and corporate work, including complex document production and client contact.
  2. Generate, prepare, and organize documentation and forms for the corporate practice area.
  3. Proofread documents for accuracy, compose correspondence, and manage calendars and meeting schedules.
  4. Arrange appointments, meetings, conference rooms, and input attorney time entries daily.
  5. Open new client matters, perform conflict checks, generate and maintain files, and review inactive files for storage.
  6. Make travel arrangements, prepare itineraries, and support travel-related meetings.
  7. Prepare and process client billing using firm software (Aderant), review prebills, and ensure timely billing.
  8. Work with complex, heavily coded documents and produce documents from transcription as needed.
Minimum Requirements
  • Two-year college degree or equivalent.
  • Strong knowledge of Microsoft Office Suite.
  • Experience with document sharing software like iManage/FileSite.
  • Excellent verbal and written communication skills.
  • Additional experience with Intapp, Chrome River, and Aderant is a plus.
  • This position is 100% in-office.
