Quintairos, Prieto, Wood & Boyer, P.A. (QPWB) seeks a Billing Specialist in Miami, FL to manage the full-cycle billing process for assigned attorneys and clients.

The role requires meticulous attention to billing details, accurate preparation of invoices, and timely submission through electronic platforms. The ideal candidate has 2+ years of billing experience, preferably in a law firm, and proficiency with Excel/Outlook.

Qualifications

• 2+ years of billing experience preferred.
• Prior law firm billing experience strongly preferred.
• Experience with electronic billing platforms and client billing guidelines preferred.
• Familiarity with legal billing procedures, time entries, billing adjustments, and invoice processing.
• Experience working in a high-volume, multi-attorney billing environment preferred.
• Proficiency in Microsoft Office Suite, particularly Excel and Outlook.

Responsibilities

• Manage the full-cycle billing process for assigned attorneys and clients.
• Prepare, review, edit, and finalize monthly pre-bills and client invoices.
• Process billing adjustments, time transfers, write-offs, and other invoice modifications.
• Review billing entries for accuracy and compliance with client billing guidelines.
• Submit invoices through electronic billing platforms and client billing portals.
• Monitor rejected invoices and resolve billing errors or discrepancies.
• Communicate with attorneys and legal staff regarding billing inquiries, corrections, and outstanding items.
• Maintain accurate client billing information, including billing rates, arrangements, and client requirements.
• Assist with resolving billing discrepancies and responding to client inquiries.
• Monitor billing deadlines and ensure timely submission of invoices.
• Maintain organized billing records and supporting documentation.
• Assist with monthly and year-end billing reconciliations and reporting.
• Collaborate with Collections and Accounting teams to address outstanding balances and billing-related issues.
