Job summary

CivicMinds, Inc. is seeking a detail-oriented Accounts Receivable/Collections Specialist to manage client accounts, follow up on overdue invoices, and resolve payment discrepancies.

The role collaborates with internal billing teams to ensure timely collections and maintain accurate records while fostering positive client relationships. The ideal candidate has 3+ years in collections or AR, strong Excel skills, and familiarity with e-billing and legal billing processes.

Qualifications

• 3+ years in collections, AR or similar.
• Bachelor’s degree preferred.
• Proficient in Microsoft Excel.
• Experience with e-billing and payment discrepancies.
• Knowledge of the legal billing process is desirable.
• Experience with Elite 3E and BillBlast is a plus.
• Strong communication, negotiation and relationship skills.
• Ability to work with clients and senior stakeholders.
• Excellent organizational skills in a high-volume setting.

Responsibilities

• Manage an assigned portfolio of client accounts and follow up on outstanding invoices.
• Contact clients regarding past-due balances and resolve payment issues professionally.
• Collaborate with internal billing teams and account stakeholders to address collection challenges.
• Monitor accounts receivable aging reports and identify accounts requiring follow-up or escalation.
• Maintain accurate records of collection activities, client communications and account updates.
• Prepare collections reports and provide regular updates on account status.
• Research unidentified cash receipts and assist with account reconciliation.
• Respond promptly and accurately to client inquiries.
• Support timely collections while maintaining strong client relationships.
