McIntyre Elder Law is seeking a Legal Assistant to support our Estate Planning department in North Carolina. You will prepare and notarize signing documents, coordinate appointments, and educate clients on the signing process while ensuring compliance and professional client service.

The role involves in-office work with some travel for signings, attention to detail, and collaboration with attorneys and paralegals to finalize documents. Evening or Saturday seminars may be required.

Qualifications

  • High school diploma required.
  • 1–3 years in a legal or estate planning office.
  • Experience with notarization and document execution in estate law preferred.

Responsibilities

  • Coordinate signing appointments with clients, attorneys, notaries, and witnesses.
  • Prepare finalized estate planning documents for signature, ensuring accuracy and completeness.
  • Facilitate notarization and witness coordination for in-office or travel signings.
  • Act as notary or witness during document signings.
  • Maintain records and filing of originals and digital copies.
  • Educate clients on the signing process with professionalism and discretion.
  • Collaborate with attorneys and paralegals to ensure approvals before execution.
  • Track outstanding documents to ensure timely completion.
  • Arrange document delivery, scanning, and recording when required.
  • Support general office tasks related to client service and legal document handling.
  • Attend educational seminars to support scheduling attendee consultations (weekday evenings or Saturday mornings).

Legal Assistant

Job Summary:
A Legal Assistant for our Estate Planning department plays a key role in ensuring the smooth execution of estate planning documents such as wills, trusts, powers of attorney, and healthcare directives. This position is responsible for preparing, scheduling, organizing, and notarizing signing documents, while maintaining a high level of client service and legal compliance.

Key Responsibilities:

  • Coordinate signing appointments with clients, attorneys, notaries, and witnesses.
  • Prepare finalized estate planning documents for signature, ensuring accuracy and completeness.
  • Facilitate the in-office or travel execution of documents, including notarization and witness coordination.
  • Act as a notary or witness during document signings.
  • Maintain accurate records of all signed documents and manage the secure filing and storage or originals and digital copies.
  • Educate clients on the signing process and respond to questions or concerns with professionalism and discretion.
  • Collaborate with attorneys and paralegals to ensure all necessary revisions and approvals are complete before execution.
  • Track and follow-up on outstanding documents to ensure timely completion.
  • Arrange for document delivery, scanning, and/or recording when required.
  • Support general office tasks related to client service and legal document handling.
  • Attend educational seminars to provide support scheduling attendee consultations. Seminars are held on a weekday evening or a Saturday morning.

Qualifications:

  • Education: High school diploma required; Associate’s or Bachelor’s degree in legal studies, business, or related field preferred.
  • Experience 1-3 years in a legal or estate planning office environment.

Skills:

  • Strong attention to detail and organizational skills.
  • Professional communication and client-facing demeanor.
  • Proficiency in office software and legal practice management systems.
  • Familiarity with constant estate planning documents and procedures.

Requirements:

  • Current Notary Public commission preferred; candidates without a commission may obtain one after employment.
  • Experience with legal document preparation and execution in estate law.
  • Knowledge of estate planning and notarization laws in North Carolina.

Hours: Monday thorough Friday 8:00am-5:00pm in office. Additionally, attendance at one weekday evening or Saturday morning seminar per month.
