Purpose

Contributes to the overall success of the U.S. Legal Department with responsibility for managing, coordinating and tracking legal processes and work product for a team of five (5) litigation, regulatory enforcement, and employment counsel for matters affecting the Bank's U.S. Global Banking & Markets business.


What You'll Do

  • Coordinate third-party legal request process with oversight of counsel.
  • Manage intake, tracking, and response to subpoenas, requests for information, class action notices and other legal inquiries and notices. Take responsibility and ownership over day-to-day processes from initial intake and stakeholder reach-out through internal signoff and response to requesting party. Track deadlines and timely update legal counsel. Retain and organize all records.
  • Coordinate internal monthly and quarterly reporting on department matters.
  • Draft and provide updates and reports as to ongoing litigation, employment, and regulatory matters, including committee and board presentations and other reports. Liaise with relevant stakeholders and track deadlines. Retain and organize all records.
  • Track department matters and retain and organize relevant records and materials.
  • Support litigation, employment, and regulatory lawyers, including tracking matter status and court dockets and maintaining calendar. Gain a substantive understanding of department matters and assist lawyers with tracking tasks and deadlines.
  • Support department lawyers and staff in completing legal projects.
  • Tasks may include but are not limited to: tracking and organizing discovery materials, taking notes during witness or custodian interviews, summarizing interviews or meetings, assisting with fact gathering, investigations, and document review, partnering with Preservation and eDiscovery teams and outside counsel to preserve, collect and process electronically stored information, communicating requests and information to other departments, proofreading and finalizing legal materials, and drafting initial discovery responses, legal hold notices, and custodian lists.
  • Review, revise and maintain policies and procedures for litigation, regulatory enforcement, and employment legal team.
  • Support Head of U.S. Legal Operations as needed.
  • Tasks may include but are not limited to: tracking matter budgets, pulling/processing invoices and assisting with finance reports, helping with department’s Risk Control Self-Assessments (“RCSAs”), aiding Head of U.S. Legal Operations with departmental budget, managing Law Firm Vendor Onboarding requirements, and updating legal spend reports.

What You’ll Bring

  • Bachelor’s degree required
  • 3+ years relevant litigation support or project management experience, including at a large law firm, in-house department, or financial institution
  • Proficient in Microsoft Office Applications, including Word, Excel, and PowerPoint (including ability to work with and create templates and consistently format slides, and proofread and finalize presentation materials)
  • Excellent attention to detail and organizational skills
  • Ability to work independently and track deadlines and projects to completion, including anticipating delays and resolving issues that may arise
  • Strong analytical and problem-solving skills
  • Professional, polished and confident demeanor
  • Confidence in communicating with stakeholders across internal groups and following up as needed to timely complete projects
  • Ability to identify issues that require escalation and to manage the escalation process
  • Ability to understand, interpret, and simplify legal terminology
  • Proficiency with or willingness to learn PACER court docket system for tracking cases and pulling legal documents
  • Ability to work independently and balance multiple priorities
  • Effective verbal and written communication skills
  • An interest in litigation matters and the legal system
  • Prior paralegal work is a positive but not required
