Job summary

Woodhouse Spa - Highland Park seeks a founding Lead Spa Concierge to establish the front desk and shape guest experiences from day one. You’ll work closely with the Spa Director to set the tone for friendly welcomes, smooth check-ins, and seamless communications.

As the inaugural leader at this North Shore location, you’ll train the team, manage VIP requests, coordinate events, and ensure every guest enjoys a luxurious, personalized visit while upholding Woodhouse standards and policies.

Qualifications

• High school diploma or equivalent.
• Leadership experience in a front-office/guest services role.
• Experience with customer service and telephone reservations.
• Excellent verbal communication and interpersonal skills.
• Strong time management and organizational skills.
• Proficient in Word, Excel, Outlook, PowerPoint, and POS platforms.
• Basic accounting for daily closing procedures.
• Comfortable meeting sales goals.
• Able to work holidays and weekends.
• Regular, consistent attendance.

Responsibilities

• Run front desk operations for guest appointments and check-in/out.
• Lead the team, greet guests, coordinate VIP events.
• Answer calls and distribute messages.
• Escort guests to lounges and treatment areas.
• Provide spa tours and refreshments.
• Ensure VIP/quiet rooms are clean.
• Manage mail, packages, and gift card sales.
• Communicate policies, delegate tasks, and follow up.
• Maintain guest and staff contact info.
• Support Spa Director with admin tasks and closing.
• Know emergency procedures and act as point of contact.

Woodhouse Spa is a luxury day spa brand with more than 100 locations nationwide — and we’re bringing it to the North Shore for the first time. As our founding Lead Spa Concierge, you own the first and last impression every guest has of us. You’ll set up the front desk from scratch, shape how our team greets and cares for guests, and work alongside the Spa Director every day. The owners work in the spa day to day as true partners, not a distant corporate office.

What You’ll Do

• Run front desk operations and staff and Retail: guest appointments, check-in and check-out, and all internal and external communications and Retail.
• Lead the team by example - Greet every guest promptly and graciously, read their true needs, and deliver an exceptional experience, coordinate VIP events and special guest requests.
• Answer and direct incoming calls; take and distribute messages accurately
• Escort guests and VIPs from check-in to changing lounges to quiet rooms pre and post treatments.
• Provide Spa tours
• Furnish guests with refreshments, snacks, and luxury wellness items during their experience.
• Ensure the VIP and quiet rooms are clean and tidy at all times.
• Manage mail, packages, and online gift card sales
• Communicate policies and procedures to the team, delegate tasks, and follow up so nothing slips
• Keep guest and staff contact information and appointments accurate
• Support the Spa Director with administrative tasks and daily closing procedures
• Know emergency procedures and alarm systems, and serve as point of contact in an emergency
• Attend training and participate in professional development
• Be a steward of the Woodhouse brand and Woodhouse standards

What We’re Looking For

• High school diploma or equivalent
• Leadership experience in a similar role or in front-office operations
• Previous customer service and telephone reservations experience
• Excellent verbal communication and interpersonal skills
• Strong time management and organizational skills
• Excellent computer skills — Word, Excel, Outlook, PowerPoint, and point-of-sale platforms
• Basic accounting skills for daily closing procedures
• Comfortable driving sales goals and initiatives
• Able to pivot and stay professional in a fast-paced environment
• Regular, consistent attendance and flexibility to work holidays and weekends.

Physical Requirements

• Able to stand and bend over for extended periods
• Able to lift up to 45 lbs.
