Job summary

Team San Jose seeks a Lead Production Assistant to supervise touring and local production events for major promoters and corporate meetings. This role oversees load-in, load-out, staff, equipment, safety, and post-event reporting.

You will coordinate backstage activities, manage unions and contractors, finalize settlements, and ensure budgets and timelines are met while maintaining a safe work environment.

Responsibilities

• Oversee daily events from load-in to load-out, supervising staff and safety.
• Manage concerts and special events with high standards and post-event reporting.
• Coordinate backstage activities and interactions with tenants.
• Prepare final settlement backups and manage cash advances/petty cash.
• Maintain relations with unions, contractors and tenants.
• Update clients on budgets and obtain approvals as applicable.
• Assist with house equipment maintenance and repairs as needed.
• Enforce Team San Jose safety policies on site.
• Assist HR with IATSE 134 new hire paperwork and injury reporting.

Job description

The Lead Production Assistant is responsible for supervising touring and local production events managed by music promoters such as Nederlander Concerts, AEG/Goldenvoice, Live Nation, and other National and Regional promoters, as well as corporate meetings and Special Events.

POSITION RESPONSIBILITIES

• Manage daily events, including load-in through load-out activities, overseeing IATSE Staff, equipment deliveries, and safe work practices.
• Manage both concerts and special events with equal attention and high standards, and complete post-event reports.
• Coordinate all backstage activities and interaction with other tenants
• Compile final settlement backup documentation on the night of the show, including other production invoices, receipts, and manage cash advances/petty cash.
• Maintain good relations with local unions, third-party contractors, and other tenants
• Keep clients up to date with changing event budgets and confirm approval, where applicable.
• Help maintain and arrange for the repair of house equipment, sometimes at a moment’s notice.
• Always assure a safe working environment by implementing Team San Jose's safe operating policies and procedures
• Assist HR with processing IASTSE 134 new hire paperwork according to TSJ guidelines
• Process injury reports according to TSJ guidelines

POSITION REQUIREMENTS

• Minimum 5 years as a Production Manager in a venue of comparable size or larger
• Excellent communication, organizational, and prioritization skills
• Quick and innovative problem solver
• Knowledge and ability in working with trade unions
• Knowledge of financial show settlements
• Able to motivate and lead others to accomplish objectives
• Hours may be extended or irregular to include nights, weekends, and holidays. Scheduling flexibility is essential.
• Knowledge of basic computer skills-Word, Excel, PowerPoint, and Outlook
