Job summary

The Center for Rheumatology seeks an experienced Office Manager to run Encino, CA, site operations. You will lead all non-physician staff, optimize patient flow and staffing, and drive readiness for future expansions.

You’ll partner with physicians on clinical standards and ensure compliant, efficient operations. You will own hiring, onboarding, performance, and retention, and act on process improvements to keep physicians focused on patient care.

Qualifications

• 5+ years in physician practice or outpatient operations.
• At least 3 years as an Office Manager, Practice Manager, Clinic Manager, or equivalent.
• Direct leadership of administrative and clinical staff with hiring, performance management and termination ownership.
• Hands-on knowledge of prior authorization and its impact on scheduling.
• Advanced user of an EHR and practice management system; able to train others.
• Working knowledge of HIPAA, OSHA, and California employment practices.

Responsibilities

• Lead all site staff below the physicians, set expectations, coach, and address performance.
• Manage scheduling, coverage, and development of clinical staff in partnership with physicians.
• Run hiring from requisition through onboarding with written plans for rapid productivity.
• Own site turnover, understand retention drivers, and take action.
• Ensure compliance with federal and California requirements (HIPAA, OSHA, CLIA).
• Own the site scorecard, budget, and labor/operating spend.
• Be the power user for the EHR, practice management system, and patient portal.
