Kamal Law Firm is seeking an experienced and highly organized Office Manager with a background in family law and immigration law to support the daily operations of the firm and ensure that intake, billing, client communication, and case management processes are handled efficiently. This role is ideal for someone who understands the fast‑paced and sensitive nature of family and immigration matters, can manage both people and processes, and is comfortable stepping into operational gaps to keep the firm moving forward. This is a key role within Kamal Law Firm and requires someone who can create structure, improve accountability, support the legal team, and ensure clients receive a professional and organized experience. Key Responsibilities
- Oversee the firm’s intake and sales process, including monitoring new leads, ensuring timely contact, reviewing call quality, and helping improve conversion from inquiry to consultation and retained client.
- Conduct QA reviews of intake and client calls, identify training opportunities, and help the team improve communication, professionalism, empathy, and consistency.
- Manage intake and sales workflows for family law and immigration matters.
- Review and QA client and intake calls.
- Set and monitor KPIs for intake, sales, billing, case progression, and client communication.
- Ensure billing is completed timely and accurately.
- Monitor trust balances and ensure retainer replenishment is handled efficiently.
- Help collect on past‑due invoices and outstanding balances.
- Ensure the team does not continue work on matters that lack sufficient funds in trust, unless approved by the managing attorney.
- Track case management progress to ensure matters move forward appropriately.
- Review task completion and ensure deadlines, filings, hearings, and immigration‑related timelines are not missed.
- Handle escalated, hostile, or upset clients in a professional, calm, and solution‑focused manner.
- Support client communication standards and ensure clients receive timely updates.
- Coordinate with attorneys, paralegals, intake staff, billing team members, and outside vendors.
- Help maintain office procedures, policies, accountability standards, and internal workflows.
- Identify process gaps and help streamline daily operations.
- Order office supplies and ensure the office has the tools and resources needed to operate effectively.
- Support onboarding and training of staff as needed.
- Maintain organized internal systems and improve overall firm efficiency.
Qualifications
- Prior law firm management, office management, or senior legal administrative experience preferred.
- Background in family law and immigration law strongly preferred.
- Strong understanding of intake, billing, trust replenishment, client communication, and case management workflows.
- Experience with legal case management software preferred.
- Ability to review calls and provide constructive feedback.
- Strong organizational and problem‑solving skills.
- Comfortable handling difficult or emotional client conversations.
- Ability to track KPIs and identify operational issues.

- Strong written and verbal communication skills.
- Ability to work independently and take ownership of firm operations.
Compensation: $50,000–$60,000 per year.
