Job description

The Law Office Manager is responsible for overseeing the daily administrative operations of the firm, ensuring efficient workflow, exceptional client service, and compliance with all human resources policies and procedures. This role includes managing client intake, supervising administrative staff, and maintaining a professional, organized, and client-focused office environment.

Key Responsibilities
Client Intake & Client Experience
  • Serve as the primary point of contact for prospective clients, handling initial inquiries with professionalism and empathy
  • Conduct client intake interviews, gather relevant information, and ensure accurate entry into the firm’s system
  • Evaluate and route potential matters to the appropriate attorney
  • Ensure timely follow-up with prospective and existing clients
  • Maintain a high standard of client service and confidentiality
Office Management & Operations
  • Oversee day-to-day office operations to ensure efficiency and organization
  • Develop, implement, and maintain office policies and procedures
  • Manage scheduling, workflow, and administrative systems
  • Coordinate with attorneys to ensure support staff are meeting case and client needs
  • Monitor office supplies, vendor relationships, and general office maintenance
Staff Supervision & Development
  • Supervise administrative and support staff, including legal assistants and reception
  • Assign and prioritize work to ensure deadlines are met
  • Provide training, coaching, and performance feedback
  • Conduct regular staff meetings and performance evaluations
  • Foster a positive, professional, and team-oriented work environment
Human Resources & Compliance
  • Ensure compliance with all applicable employment laws and workplace regulations
  • Manage employee onboarding and offboarding processes
  • Maintain personnel records and ensure confidentiality of employee information
  • Oversee timekeeping, PTO tracking, and adherence to firm policies
  • Address employee relations issues in a fair and consistent manner
  • Coordinate with outside HR consultants or legal counsel as needed
  • Assist with budgeting, expense tracking, and cost control
  • Oversee billing support processes and ensure administrative accuracy
  • Monitor key performance indicators such as intake conversion and staff productivity
Qualifications
  • Bachelor’s degree or equivalent experience preferred
  • 3–5+ years of office management experience, preferably in a law firm or professional services environment
  • Strong knowledge of HR practices and employment compliance
  • Excellent organizational, leadership, and communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency with legal practice management software and Microsoft Office
