  • Ensure billing is completed timely and accurately.
  • Monitor trust balances and ensure retainer replenishment is handled efficiently.
  • Identify process gaps and help streamline daily operations.

About this position

Kamal Law Firm is seeking an experienced and highly organized Office Manager with a background in family law and immigration law to support the daily operations of the firm and ensure that intake, billing, client communication, and case management processes are handled efficiently.

This role is ideal for someone who understands the fast-paced and sensitive nature of family and immigration matters, can manage both people and processes, and is comfortable stepping into operational gaps to keep the firm moving forward.

Compensation:

$50,000 - $60,000 yearly depending on experience


Responsibilities:

TheOfficeManagerwilloverseethefirm’sintakeandsalesprocess,includingmonitoringnewleads,ensuringtimelycontact,reviewingcallquality,andhelpingimproveconversionfrominquirytoconsultationandretainedclient.

ThispositionwillalsoberesponsibleforconductingQAreviewsofintakeandclientcalls,identifyingtrainingopportunities,andhelpingtheteamimprovecommunication,professionalism,empathy,andconsistency.

  • Managingintakeandsalesworkflowsforfamilylawandimmigrationmatters
  • ReviewingandQA’ingclientandintakecalls
  • SettingandmonitoringKPIsforintake,sales,billing,caseprogression,andclientcommunication
  • Ensuringbillingiscompletedtimelyandaccurately
  • Monitoringtrustbalancesandensuringretainerreplenishmentishandledefficiently
  • Helpingcollectonpast-dueinvoicesandoutstandingbalances
  • Ensuringtheteamisnotcontinuingworkonmattersthatdonothavesufficientfundsintrust,unlessapprovedbythemanagingattorney
  • Trackingcasemanagementprogresstoensuremattersaremovingforwardappropriately
  • Reviewingtaskcompletionandhelpingensuredeadlines,filings,hearings,andimmigration-relatedtimelinesarenotmissed
  • Handlingescalated,hostile,orupsetclientsinaprofessional,calm,andsolution-focusedmanner
  • Supportingclientcommunicationstandardsandensuringclientsreceivetimelyupdates
  • Coordinatingwithattorneys,paralegals,intakestaff,billingteammembers,andoutsidevendors
  • Helpingmaintainofficeprocedures,policies,accountabilitystandards,andinternalworkflows
  • Identifyingprocessgapsandhelpingstreamlinedailyoperations
  • Orderingofficesuppliesandensuringtheofficehasthetoolsandresourcesneededtooperateeffectively
  • Supportingonboardingandtrainingofstaffasneeded
  • Maintainingorganizedinternalsystemsandhelpingimproveoverallfirmefficiency

Qualifications:

Ideal Candidate:

The ideal candidate will have prior experience working in a law firm, preferably within family law and immigration law. This person should understand the emotional nature of these practice areas and be able to communicate with clients who may be stressed, upset, overwhelmed, or frustrated.

This role requires someone who can hold team members accountable, manage difficult client conversations, monitor financial workflows, and help the managing attorney maintain visibility over the firm’s daily operations.

Qualifications:

  • Prior law firm management, office management, or senior legal administrative experience preferred
  • Background in family law and immigration law strongly preferred
  • Strong understanding of intake, billing, trust replenishment, client communication, and case management workflows
  • Experience with legal case management software preferred
  • Ability to review calls and provide constructive feedback
  • Strong organizational and problem-solving skills
  • Comfortable handling difficult or emotional client conversations
  • Ability to track KPIs and identify operational issues
  • Professional, dependable, and detail-oriented
  • Strong written and verbal communication skills
  • Ability to work independently and take ownership of firm operations
