Job summary

ILT Vignocchi is seeking a highly organized Landscape Construction Coordinator to oversee residential and/or commercial landscape projects through the construction installation process.

The coordinator will work with the project manager and operations manager to understand the design vision, develop practical landscape solutions, prepare estimates, coordinate crews and subcontractors, order materials, and ensure projects are completed on time, within budget, and to company quality standards.

Qualifications

  • 5+ years of experience in landscape project management or related field.
  • Strong knowledge of planting, irrigation, grading, and hardscapes.
  • Ability to read and interpret landscape plans and specs.
  • Excellent customer service and communication skills.
  • Bilingual English/Spanish is a plus.

  • Manage landscape installation projects from proposal through final completion.

Position Summary

We are seeking an experienced and highly organized Landscape Construction Coordinator to oversee residential and/or commercial landscape projects through the construction installation process.

The landscape coordinator will work directly with project manager and operation manager to understand the design vision, develop practical and attractive landscape solutions, prepare estimates and proposals, coordinate crews and subcontractors, order materials, and ensure projects are completed on time, within budget, and to company quality standards.

The ideal candidate has a strong understanding of landscape construction and horticulture, an eye for design, excellent communication skills, and the ability to manage multiple projects simultaneously.

Key Responsibilities
Project Management
  • Manage landscape installation projects from approved proposal through final completion.
  • Develop project schedules and coordinate labor, equipment, materials, subcontractors, and deliveries.
  • Conduct pre-construction meetings with crews and supervisors to review plans and project expectations.
  • Provide field teams with clear plans, specifications, measurements, quantities, and installation details.
  • Visit job sites regularly to monitor progress, workmanship, safety, and compliance with the approved design.
  • Identify project challenges and make timely decisions to keep projects moving.
  • Coordinate project changes and communicate impacts on cost and schedule to customers and management.
  • Prepare punch lists as needed before walkthroughs.
  • Ensure punch list items are completed promptly, and projects are properly closed out.
Estimating & Budget Management
  • Track labor, materials, equipment, subcontractor expenses, and other project costs.
  • Monitor projects against estimated hours and budgets.
  • Identify potential cost overruns early and develop solutions.
  • Prepare and obtain approval for change orders when work falls outside the original project scope.
  • Review completed projects to compare estimated versus actual costs and improve future estimating accuracy.
Landscape Construction Knowledge

The Project Manager should have working knowledge of landscape installation practices, including:

  • Planting trees, shrubs, perennials, and seasonal color
  • Landscape bed preparation.
  • Mulch, soil, and decorative stone installation.
  • Sod and seed installation.
  • Grading and drainage
  • Irrigation installation and modifications
  • Landscape lighting
  • Paver patios and walkways
  • Retaining walls
  • Edging and landscape borders
  • Outdoor living spaces
  • Site preparation and demolition
  • Final grading and property restoration
  • Knowledge of use of landscape construction equipment
Client Communication
  • Provide project manager with regular updates regarding schedules, progress, materials, and project changes.
  • Set clear expectations regarding construction timelines and site conditions.
  • Address customer questions and concerns professionally and promptly.
  • Maintain positive client relationships throughout the project.
  • Identify opportunities for additional landscape improvements or future projects.
Crew & Subcontractor Coordination
  • Work closely with landscape foremen and installation crews to communicate project requirements.
  • Coordinate timing of subcontractors or other specialty contractors.
  • Ensure crews understand the approved design and scope of work before beginning each phase.
  • Verify that work is being completed according to plans and company quality standards.
  • Assist field teams with problem-solving when site conditions require adjustments.
  • Maintain professional and productive relationships with vendors and subcontractors.
Purchasing & Materials
  • Order plant material, hardscape materials, soil, mulch, stone, and other project materials.
  • Coordinate deliveries with vendors and field crews.
  • Verify materials upon delivery for quantity and quality.
  • Minimize unnecessary material waste and additional trips.
  • Maintain strong relationships with nurseries, landscape suppliers, and subcontractors.
Qualifications
  • 5+ years of experience in landscape project management, landscape construction, landscape design, or a related field preferred.
  • Previous landscape design experience strongly preferred.
  • Strong knowledge of plants, landscape materials, and installation practices.
  • Understanding grading, drainage, irrigation, hardscapes, planting, and general landscape construction.
  • Ability to read and interpret landscape plans, construction drawings, and specifications.
  • Strong understanding of project budgets, labor hours, and job costing.
  • Excellent customer service and communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong problem-solving and decision-making skills.
  • Valid driver’s license and acceptable driving record.
  • Experience with design software such as AutoCAD, Sketchup, Lumion and adobe software suite programs is a plus.
  • Familiarity with estimating platforms like Aspire, LMN, or similar.
  • Bilingual (English/Spanish) is a plus.

Ideal Candidate

This individual should be comfortable moving between the office and the field. One day may involve coordinating crews, checking grades, reviewing plant placement, solving a drainage issue, or making sure a patio installation matches the approved design the next day might be helping the design department finalize a design or estimate.

We are looking for someone who takes ownership of their projects, communicates proactively, pays attention to details, and understands that a successful landscape project must be beautiful, functional, buildable, and profitable.

Physical Requirements
  • Ability to walk construction sites and uneven terrain.
  • Ability to work outdoors in varied weather conditions.
  • Ability to occasionally lift or carry up to 50 pounds.
  • Ability to safely operate a company vehicle.
  • Ability to spend portions of the workday traveling between job sites, suppliers, and customer properties.
