Job summary

Open Healthcare US in Gardena, CA seeks a Laboratory Operations Assistant to support laboratory operations with administrative and operational duties, including quality assurance, LIS/records management, inventory tracking, and workflow coordination.

You will work with the leadership team to maintain data accuracy, manage the LIS master data, prepare schedules, and help with document control and reporting. Strong organization, attention to detail, and teamwork are essential.

Qualifications

• High school diploma or GED with a minimum of one (1) year of related experience and/or training, or an equivalent combination of education and experience.
• Basic knowledge of laboratory procedures, medical terminology, and specimen handling
• Understanding of HIPAA regulations and commitment to patient confidentiality

Responsibilities

• Provide administrative and operational support for the Laboratory leadership team.
• Assist with day-to-day laboratory operations with ad-hoc operational projects, reporting requirements, and department communications.
• Perform quality assurance review of accessioning work completed by other laboratory team members to ensure accuracy of specimen data entry, patient demographics, test ordering, and laboratory information system records; assist with follow-up activities related to accessioning errors.
• Assist with maintenance of Laboratory Information System (LIS) master data, including data entry, test code setup, test catalog updates, client information maintenance, and related system administration functions.
• Monitor laboratory inventory levels and coordinate ordering of supplies, reagents, and consumables.
• Maintain inventory records and ensure appropriate stock levels are available to support laboratory operations.
• Assist with preparing, updating, and distributing work schedules for Laboratory Assistants and Clinical Laboratory Scientists (CLS).
• Assist laboratory leadership team with schedule updates/notices, shift coverage notifications, staffing rosters, and departmental communications.
• Administer the laboratory Document Management System (DMS) and maintain controlled laboratory documents.
• Help organize, distribute, file, and archive laboratory policies, procedures, forms, internal documents, and records; support document review and revision processes under the direction of laboratory leadership.
• Perform accessioning duties, including data entry into LIS and/or send out system. Verify insurance eligibility, and communicate with clients when patient requisition information is incomplete or unclear to ensure data accuracy and quality standards are met.
• Identify discrepancies, trends, and opportunities for process improvement for the laboratory operations team.
• Prepare ad hoc reports, data summaries, and operational metrics for company leadership and headquarters as requested.
• Perform packaging and shipping related activities for sending out test samples to laboratories located in South Korea.
• Perform other duties as assigned. All employees may be asked to take on additional projects or responsibilities outside of this document, including but not limited to covering for colleagues or handling unexpected tasks, as business needs require.
