Job summary

BioSpace seeks a Lab Administrator to coordinate daily lab operations, including sample submission, purchasing, and inventory management. You will serve as the communication hub between internal teams, clients, and vendors, ensuring timely processing and cost-effective procurement in compliance with SOPs, cGMP, and regulatory standards.

The role emphasizes maintaining accurate records, vendor management, and collaboration with Quality Assurance and Supply Chain to sustain workflow efficiency.

Qualifications

• 3+ years in laboratory operations, inventory control, or purchasing in a regulated environment.
• Strong organizational and multitasking skills with attention to detail.
• Proficient in ERP/LIMS and MS Office.
• Knowledge of cGMP, USP, ISO 17025, and FDA regulatory requirements.

Responsibilities

• Receive, log, label, and route client samples in compliance with SOPs and chain-of-custody.
• Maintain accurate records in the lab tracking system and ensure timely release of samples.
• Communicate with clients and internal staff regarding sample status and documentation.
• Maintain a clean, organized, and safe sample submission area and proper disposal per protocols.
• Perform administrative tasks such as mail distribution, filing, and inventory organization.
• Manage procurement of goods and services following company policies and budget.
• Collaborate with stakeholders to identify material needs and ensure timely purchasing.
• Maintain vendor relationships and negotiate terms for cost-effective sourcing.
• Support vendor qualification and supplier management per quality and regulatory requirements.
• Maintain ERP purchasing data; generate purchase orders and monitor status.
• Maintain accurate inventory control including receiving, labeling, storing, issuing materials.
• Conduct cycle counts, reconcile discrepancies, and prepare corrective-action reports.
• Monitor material usage and reorder points to prevent shortages or overages.
• Oversee receiving accuracy and coordinate returns to suppliers with proper documentation.
• Ensure compliance with cGMP, OSHA, and FDA standards in warehouse activities.
• Support planning and scheduling of materials to meet production/testing demands.
