Job summary

Proactive Global is seeking a Logistics Operations Coordinator on a contracting basis in Mountain View, CA. You will drive day-to-day logistics activities, ensure timely shipments, and maintain compliance with internal and external frameworks, coordinating with internal stakeholders in Robotics and Labs to secure accurate requirements.

Job description

We're looking for a contractor to support our Robotics/AI client based locally. You'd be at the heart of Logisstics Operations reporting. Your focus would be to support the organisation's mission by ensuring the smooth, compliant, and timely movement of crucial assets.

Your team will act as the crucial link between client's research and engineering teams and the global logistics infrastructure. As the Logistics Operations Coordinators, your core responsibility is the BAU execution of the logistics pipeline, ensuring all procured items move efficiently and in full compliance with established internal and external frameworks. You will be the primary point of contact for internal stakeholders in Robotics and other Labs requiring shipments, gathering precise requirements and following all established processes to secure timely delivery. You will report into the Logistics Manager, immediately flagging bottlenecks or issues so they can be unblocked, ensuring the overall pipeline velocity is maintained.

Key responsibilities

• Drive the day-to-day logistics pipeline, processing and tracking individual shipments from requirement capture through to final delivery, ensuring maximum adherence to established procedures and internal policies.
• Work with internal teams and external suppliers to obtain accurate and complete shipping documentation (e.g. commercial invoices, regulatory paperwork), and apply knowledge of core shipping aspects to maintain compliance with external customs/legal parameters.
• Serve as the primary operational contact for internal requesters, communicating shipment requirements, status updates, and proactively managing expectations throughout the delivery process.
• Closely monitor the pipeline for delays, risks, or recurring compliance issues, and immediately flag potential bottlenecks or areas of non-adherence to the Logistics Manager for resolution.

Key Requirements

To set you up for success as the Logistics Operations Coordinator, we look for the following skills and experience:

• Practical understanding of core shipping requirements, documentation, and procedures (e.g. shipping terms, commercial invoices).
• Demonstrable experience in logistics and/or a process oriented operational role within a fast-paced global environment.
• Proven ability to diligently manage and adhere to established policies and internal processes.
• Strong organisational and communication skills, with a proactive approach to stakeholder management and flagging issues early and clearly.
• Proficiency in data entry, spreadsheet management, and logistics tracking tools to maintain pipeline visibility and accuracy.
