Essential Job Functions

The Judiciary Clerk is an entry-level clerical position performing case processing duties and responsibilities daily which entails a high volume of data entry work for multiple case types to include criminal and traffic courts for Washington County District Court. This position demands that the clerk be constantly attentive to new procedures, changes, errors, and discrepancies in an ongoing effort to achieve 100% accuracy. The incumbent assists the public, police, attorneys, and other agencies with questions regarding criminal and traffic cases and must be able to provide them with information regarding court procedures and policies.

Note

This position is designated as essential personnel and subject to call-in during emergencies and inclement weather.

Essential Duties And Responsibilities
  • Process new cases, served warrants, and summonses; Accept filings through File & Serve and non-electronic filings; Process bail reviews; Process violation of probation reports.
  • Issue warrants and summonses; Update addresses for Defendants; Enter and update related parties.
  • Recall warrants; Prepare commitments and releases from commitment.
  • Schedule and set trial date for regular trials, preliminary hearings, VOP?s, modifications, sentencings, and dismissals; Prepare notices to State?s Attorney on felony cases.
  • Process appeals, including appeal bonds; Process extraditions; Process requests for trial on parking tickets; Process expungements; Process postponement requests as needed.
  • Enter writs into Odyssey and prepare manual writs to have Defendants and witnesses transported for court; Enter all Department of Natural Resources, Civil and Municipal Infraction citations and set court dates.
  • Accept criminal information, indictments, and jury trials; Close out cases and transmit documents via Workflow Queue; Accept appearances and witnesses.
  • Scan processed paperwork.
  • Process Domestic Violence and Peace Order cases, including research of prior cases and distribution of orders to involved parties. Prepare the PO/DV docket for court.
  • Process Emergency Evaluations.
  • Respond to inquiries by phone, front counter and mail regarding criminal and traffic cases, court policies, and filing procedures.
  • Provide case numbers, court dates, charge information, fine amounts, bond amounts, answers to motions or requests, etc.
  • Receive last-minute phone postponement requests.
  • Receive filings and paperwork at front counter.
  • Assist individuals using public access computer (Case Search/MDEC Kiosk).
  • Assist individuals with inquiries regarding criminal and motor vehicle cases, court policies, filing procedures.
  • Print payment pages for payments of fines and/or costs.
  • Pull, file and scan pending, closed, warrant cases and pleadings.
  • Forward paperwork for criminal/traffic cases to other courts for processing.
  • Respond by notice or memorandum to individuals requesting additional information.
  • Pull case file(s) and make requested copies.
  • Process requests for copies.
  • Process returned mail.
  • Strip files each year.
  • Correct commissioner errors.
Minimum Qualifications
  • Education: High school diploma (or GED equivalent).
  • Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal, or financial services.
  • Note: A Bachelor?s Degree may substitute the required work experience.
  • A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.

Knowledge, Skills, and Abilities
  • General office practices, procedures and equipment.
  • Standard legal forms and documents used in the Judiciary.
  • Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
