Position Overview

Client is seeking an IT Project Coordinator to support financial planning, budgeting, resource management, and operational execution within its enterprise technology organization.

This position sits at the intersection of IT Finance, Product Management, and Agile technology delivery. The IT Project Coordinator will serve as the Product Manager's primary financial and operational support partner, helping ensure technology initiatives are delivered in alignment with established budgets, financial controls, and business objectives.

The ideal candidate will have experience supporting IT budgets within a regulated or financially controlled industry, managing CapEx and OpEx expenditures, developing financial reports, coordinating vendor contracts, and working within a Scaled Agile Framework (SAFe) environment.

This is a highly collaborative, detail-oriented role requiring someone who can work independently, manage competing priorities, and navigate ambiguity in a complex enterprise environment.

KEY RESPONSIBILITIES
IT Financial Management & Budgeting
  • Support budgeting, forecasting, and financial planning activities across enterprise technology initiatives.
  • Track actual expenditures against planned budgets, identify variances, and assist in maintaining accurate rolling financial forecasts.
  • Manage CapEx and OpEx classifications for technology investments, including navigating ambiguous financial scenarios and collaborating with finance teams to determine appropriate treatment.
  • Develop, maintain, and refine financial templates, budget trackers, forecasting models, and management reports.
  • Collaborate with IT Finance Business Partners to support monthly financial reviews, accruals, estimates at completion, and forecast adjustments.
  • Maintain accurate financial records and support compliance with established financial controls.
SAFe Agile & Product Management Support
  • Serve as a key financial and operational partner to Product Managers, supporting day-to-day activities across assigned technology value streams.
  • Support the development and maintenance of Lean Business Cases for Epics and Features within a SAFe Agile organization.
  • Partner with Product Managers, Product Owners, Scrum Masters, and technology teams to understand delivery priorities, milestones, and associated financial impacts.
  • Monitor project and Agile delivery metrics to identify potential schedule changes, resource constraints, and budget risks.
  • Help translate technology delivery progress into accurate financial projections and resource planning decisions.
  • Support Agile planning activities and financial governance across product portfolios.
Resource Planning & Allocation
  • Create, maintain, and refine resource allocation plans across technology initiatives.
  • Track internal employees, contractors, and vendor resources against approved budgets and planned deliverables.
  • Monitor resource utilization, labor costs, and allocation changes to support accurate financial reporting.
  • Collaborate with Product Managers and Finance to assess the financial impact of resource changes.
  • Ensure labor and resource allocations are accurately reflected in relevant financial and project management systems.
  • Process and reconcile vendor invoices, contractor timesheets, and related financial transactions.
  • Partner with Supply Chain and Procurement teams to support contract administration and vendor financial management.
  • Assist with individual contractor agreements, statements of work (SOWs), and fixed-price vendor contracts.
  • Validate vendor charges against contractual agreements, purchase orders, milestones, and approved budgets.
  • Track contract expenditures and upcoming financial commitments.
  • Coordinate with stakeholders to resolve invoice discrepancies and support timely payment processing.
  • Maintain accurate financial and delivery data across enterprise planning and project management platforms.
  • Support monthly rolling forecasts and financial planning activities using IBM Apptio Planning or comparable systems.
  • Track project progress, milestones, and delivery metrics through Jira, Azure DevOps, Clarity, or similar tools.
  • Prepare financial summaries, variance analyses, resource allocation reports, and other materials for Product Managers and IT Finance leadership.
  • Ensure consistency and accuracy between Agile delivery information and associated financial records.
  • Identify opportunities to improve financial reporting, processes, and data integrity.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in Finance, Business Administration, Project Management, Management Information Systems, or a related discipline.
  • 2–4+ years of relevant experience in IT project coordination, PMO analysis, technology financial management, project controls, or a similar role.
  • Experience supporting budgets and financial planning within a regulated or financially controlled industry, such as utilities, financial services, insurance, or healthcare.

  • Demonstrated ability to create, manage, and refine resource allocation plans.

  • Experience providing direct operational and financial support to Product Managers or technology delivery leaders.
  • Proficiency with Microsoft Excel, including financial data analysis, tracking, and reporting.
  • Familiarity with Jira, Azure DevOps, Clarity, or comparable project and portfolio management tools.
  • Strong communication, organizational, analytical, and problem‑solving skills.
  • Ability to manage detailed financial information while collaborating across technology, finance, and business teams.

  • Experience preparing month-end accruals and estimates at completion (EAC).
  • Knowledge of software development capitalization practices and related accounting controls.
  • Experience supporting IT financial management in the utilities or energy industry.
  • Experience improving financial reporting processes or implementing standardized financial controls.
