Responsibilities

  • Support annual IT budget preparation, monitoring, and reporting.
  • Track budgeted versus actual expenditures and maintain historical expense records.
  • Review and reconcile invoices, purchase orders, recurring charges, and payments.
  • Assist with expense tracking, allocation, and financial reporting.
  • Prepare budget, expense, renewal, KPI, and management reports.
  • Coordinate purchasing activities and maintain supporting approval documentation.
  • Support IT procurement activities, including quote collection, purchase request coordination, purchase order tracking, and related documentation.
  • Serve as a point of contact for vendors regarding invoices, renewals, billing questions, and account maintenance.
  • Maintain current IT and vendor contact information.
  • Maintain records and schedules for technology contracts, software subscriptions, maintenance agreements, warranties, digital certificates, and domain registrations.
  • Coordinate renewal activities to prevent service disruptions.
  • Maintain accurate and confidential IT financial records.
  • Ensure documentation retained per purchasing, approval, record-retention, and Sarbanes-Oxley requirements.
  • Provide supporting documentation for management reviews and audit requests.
  • Coordinate IT meetings, events, and departmental activities.
  • Coordinate IT training registrations, scheduling, communications, and related records.

Position Summary

AMERISAFE is seeking a detail-oriented and highly organized IT Financial Operations Specialist to support the financial and administrative operations of the Information Technology Department. This position plays a key role in budgeting, purchasing, invoice processing, vendor coordination, contract and renewal management, audit support, reporting, and departmental administration. The successful candidate will help ensure accurate financial tracking, timely renewals, effective vendor management, and smooth day-to-day operational support for the IT organization.

What You'll Do
Financial Operations & Budget Support
  • Support annual IT budget preparation, monitoring, and reporting.
  • Track budgeted versus actual expenditures and maintain historical expense records.
  • Review and reconcile invoices, purchase orders, recurring charges, and payments.
  • Assist with expense tracking, allocation, and financial reporting.
  • Prepare budget, expense, renewal, KPI, and management reports.
Procurement & Vendor Management
  • Coordinate purchasing activities and maintain supporting approval documentation.
  • Support IT procurement activities, including quote collection, purchase request coordination, purchase order tracking, and related documentation.
  • Serve as a point of contact for vendors regarding invoices, renewals, billing questions, and account maintenance.
  • Maintain current IT and vendor contact information.
Contract & Renewal Administration
  • Maintain records and schedules for:

Administrative & Departmental Support
  • Coordinate logistics and administrative support for IT meetings, events, and departmental activities.
  • Coordinate IT training registrations, scheduling, communications, and related records.
  • Provide operational and administrative support to ensure the efficient functioning of the IT department.
Qualifications
Required
