Job summary

Delaware North is seeking an Information Technology Administrative Assistant for our Buffalo, NY headquarters. The role provides high-level administrative support to IT leaders, handling calendars, travel, communications, and meeting logistics.

Qualifications

  • 3+ years of experience supporting senior IT leaders or executive teams.
  • Expertise managing complex calendars and travel arrangements.
  • Proficiency with Microsoft 365 applications (PowerPoint, Excel, Word).
  • Strong interpersonal and communication skills; ability to handle confidential information.

Responsibilities

  • Manage executive calendars, coordinate meetings, arrange travel, and oversee appointments.
  • Serve as primary point of contact for internal/external stakeholders and screen inquiries.
  • Prepare agendas, presentations, and meeting materials for executive meetings.
  • Process expense reports, invoices, and administrative requests with accuracy.
  • Provide clerical support and maintain records; order department supplies.
  • Build relationships with executives and partners, handling sensitive information discreetly.
  • Coordinate and execute special projects with timelines and deliverables.

What will you do?
  • Manage executive calendars, coordinate meetings, arrange travel, and oversee appointments to support efficient scheduling and operations
  • Serve as the primary point of contact for internal and external stakeholders by managing communications, screening inquiries, and directing requests appropriately
  • Prepare and compile agendas, presentations, meeting materials, and supporting documentation for executive and management meetings
  • Process expense reports, invoices, and departmental administrative requests while maintaining accuracy and timeliness
  • Perform clerical and office support duties, including responding to inquiries, maintaining records, and ordering department supplies
  • Build and maintain effective working relationships with executives, business partners, and external stakeholders while handling sensitive information with discretion
  • Coordinate and execute special projects by managing timelines, requirements, and deliverables to ensure successful completion
More about you
  • Associate degree preferred.
  • 3 or more years of experience supporting senior IT leaders or executive teams in an administrative capacity.
  • Expertise managing complex calendars, coordinating travel, processing expenses and handling multiple priorities with ease.
  • Strong proficiency with Microsoft 365 including PowerPoint, Excel, Word, and enterprise-wide technology systems.
  • High level of interpersonal skills to handle sensitive information and confidential situations.
  • Exceptional communication skills with the ability to interact confidently and professionally with executives, buisness partners, and stakeholders at all levels.
  • Strong organizational skills, attention to detail, and the abilty to anticipate needs before they arise.
  • The agility to manage competing priorities, coordinate departmental activities, and keep critical initiatives moving forward.
