Job summary

Heluna Health in Los Angeles County is seeking a Staff Analyst (SA), Invoicing, to oversee the ERC invoicing system for 100+ facilities. The role reports to the Associate Director of the Enriched Residential Care Program and ensures invoices are processed accurately and on time.

The SA will coordinate with RAP and ODR staff, maintain income data, and support program compliance. This hybrid role may involve office and remote work and requires strong MS Office proficiency and attention to detail.

Qualifications

• Four or more years of highly complex administrative experience in the health, housing, social services, or related sectors.
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Access) and related tools.

Responsibilities

• Assist with generating monthly invoices, Letters of Agreements, and Project-Based Site invoices for ERC Facility Administrators.
• Receive, review, and process incoming invoices in a timely manner.
• Provide technical assistance to Facility Administrators to ensure all billing inquiries and issues are addressed.
• Maintain current and up-to-date database of income and rate data for all clients and facilities.
• Maintain multiple internal tracking documents for move-ins/exits, relocations, rate changes, and garnishments.
• Communicate with RAP Team and ODR staff to ensure payments are made for all new client referrals.
• Work with Wellness and Compliance teams to ensure data quality and address discrepancies.
• Monitor monthly payments to prevent overpayments and initiate overpayment/collection processes when needed.
• Prepare and distribute Overpayment History Reports and Monthly Overpayment Breakdown Summaries.
• Complete reports such as Garnishment Report, Monthly Invoice Report, ODR Operational Cost Report & Census report.
