Inventory Specialist – Customer Service & Back-End Support
Location: Atlanta, GA, US; willingness to travel throughout the US
Overview:
An Inventory Specialist in Customer Service & Back-End Support is responsible for managing finished stock levels in trunk stock and at third-party logistics providers, ensuring product availability, and assisting with customer inquiries. This role provides back-end support to Account Service Representatives by supporting inventory data and resolving issues. The specialist also acts as a first-level support for Microsoft Dynamics 365 ERP, facilitates quarterly business reviews with third-party logistics providers, and implements KPI dashboards to track inventory and 3PL performance. The position requires coordination with sales teams, distributors, warehouse staff, and customers to maintain an accurate and efficient inventory system while supporting account management operations.
Key Responsibilities:
- Inventory Management:
- Stock Control: Track, monitor, and update inventory records to ensure accurate trunk stock levels in the field.
- Cycle Counting: Conduct regular cycle counts at distributors to verify stock accuracy and reconcile discrepancies.
- Customer Support: Assist customers with inventory-related inquiries, such as stock availability, order status, and product replacements.
- Order Processing: Coordinate incoming and outgoing inventory, ensuring timely fulfillment of customer orders in collaboration with the 3PL provider.
- Data Entry & Reporting: Maintain inventory databases, generate reports, and analyze stock trends to prevent shortages or overstocking.
- Problem-Solving: Investigate and resolve stock discrepancies, shipping errors, and damaged goods issues.
- Compliance & Accuracy: Ensure inventory records comply with company policies and industry standards.
- Reporting & Documentation: Generate inventory and account-related reports to support Account Service Representatives in customer interactions.
3rd Party Logistics & Business Reviews:- Stock Control: Track, monitor, and update inventory records at GMLx.
- Logistics Provider Coordination: Work closely with the 3PL provider to optimize inventory distribution and logistics efficiency.
- Quarterly Business Reviews: Facilitate reviews with the 3PL provider, analyzing performance metrics, identifying improvements, and ensuring SLAs are met.
- Performance & Compliance Monitoring: Track KPIs to ensure compliance with standards and agreements.
- Process Improvement: Identify opportunities for operational efficiency and cost savings.
ERP & Systems Support:- First-Level Support: Assist users with troubleshooting, data entry, and navigation in Microsoft Dynamics 365.
- Issue Resolution: Escalate system issues to IT or ERP admins as needed.
- Training & Guidance: Provide ERP best practices to internal users.
- Data Accuracy: Ensure correct data entry into Dynamics 365.
KPI Dashboard Implementation & Monitoring:- Development & Tracking: Design and maintain dashboards for inventory and logistics performance.
- Reporting & Visualization: Create real-time dashboards for insights into inventory accuracy, turnover, fulfillment, and shipping.
- Analysis & Optimization: Analyze KPI data for trends and improvements, working with stakeholders to enhance metrics.
Qualifications & Skills:
- Education: Bachelor's degree in Supply Chain Management, Business Administration, Logistics, or related field.
- Experience: 2+ years in inventory management, supply chain, or customer service.
- Skills:
- Strong organizational and problem-solving skills.
- Proficiency in ERP (preferably Microsoft Dynamics 365), Office Suite (including Excel), and data visualization tools.
- Experience with cycle counting, reconciliation, and order processing.
- Support experience for Account Service Representatives.
- Excellent communication skills.
- Experience with 3PL logistics coordination and performance reviews.
- Ability to multitask in a fast-paced environment.
- Detail-oriented with analytical skills.
- Experience in KPI dashboard creation and monitoring, with proficiency in Power BI, Tableau, or similar tools.
- Travel: Willing to travel throughout the US as needed.
Pay Range: $75,000—$90,000 USD
