Job summary

CraneWorks is seeking an Inventory Manager in Olathe, KS to coordinate and maintain accurate equipment inventory across Karmak and Airtable. You will support purchasing, freight, and audits, while ensuring timely and precise inventory records and cost reconciliation across departments.

You'll collaborate with Sales, Service, Accounting, vendors, and product leadership to optimize inventory flow, review invoices, and maintain documentation.

Qualifications

  • Strong knowledge of inventory control, purchasing, invoicing, freight coordination, and transaction documentation.
  • Ability to maintain accurate records across multiple systems and reconcile discrepancies in costs, purchase orders, invoices, and equipment data.
  • Strong attention to detail with the ability to manage multiple priorities, deadlines, and high-volume administrative activity.
  • Proficiency with Microsoft Excel and reporting tools; ability to analyze inventory reports and identify variances requiring follow-up.

Responsibilities

  • Maintain accurate equipment records in Karmak and Airtable, including unit setup, VINs, serial numbers, costs, delivery dates, status changes, and other required updates.
  • Create and maintain purchase orders and local purchase orders (LPOs) for equipment, freight, parts, and other departmental needs; review open and voided purchase orders and make corrections as needed.
  • Maintain complete electronic inventory files and upload supporting documentation, including purchase orders, invoices, freight documents, build sheets, photographs, and related records.
  • Coordinate inbound and outbound freight for equipment, including preparation of bills of lading and related freight documentation.
  • Track vendor delivery dates and follow up on outstanding or newly ordered inventory to support timely receipt and availability of equipment.

Job Summary: The Inventory Manager is responsible for coordinating and maintaining accurate equipment inventory records from order through sale or rental. This role manages inventory data across Karmak and Airtable, supports purchasing and freight activities, reconciles costs and documentation, assists with audits, and works closely with Sales, Service, Accounting, vendors, and product leadership to ensure inventory information and transactions are timely and accurate.

Key Responsibilities
  • Maintain accurate equipment records in Karmak and Airtable, including unit setup, VINs, serial numbers, costs, delivery dates, status changes, and other required updates.
  • Create and maintain purchase orders and local purchase orders (LPOs) for equipment, freight, parts, and other departmental needs; review open and voided purchase orders and make corrections as needed.
  • Maintain complete electronic inventory files and upload supporting documentation, including purchase orders, invoices, freight documents, build sheets, photographs, and related records.
  • Coordinate inbound and outbound freight for equipment, including preparation of bills of lading and related freight documentation.
  • Track vendor delivery dates and follow up on outstanding or newly ordered inventory to support timely receipt and availability of equipment.
  • Verify equipment invoices and supporting documentation, reconcile unit costs between Karmak and Airtable, and submit approved invoices to Accounting for processing.
  • Support vendor, bank, and floorplan audits, including preparation and distribution of required inventory reports and documentation.
  • Create and maintain deal records for reserved equipment and support deal costing, invoicing, costing packets, warranty holdbacks, and other transaction requirements as needed.
  • Process rental equipment invoices and support proper allocation of service equipment from Sales.
  • Prepare and issue buyer tags, temporary tags, and other required equipment documentation; maintain company dealer plates.
  • Run and review inventory and sales reports, investigate discrepancies, and provide reporting support for internal stakeholders and product leaders.
  • Partner closely with the Sales team and Product Line Managers to answer equipment questions, provide unit, deal, invoice, and cost information, and support customer quote requests.
  • Order parts for new builds when required and coordinate related purchasing and documentation.
  • Perform other inventory, sales administration, and equipment transaction duties as business needs require.
Qualifications & Competencies
  • Strong knowledge of inventory control, purchasing, invoicing, freight coordination, and transaction documentation.
  • Ability to maintain accurate records across multiple systems and reconcile discrepancies in costs, purchase orders, invoices, and equipment data.
  • Strong attention to detail with the ability to manage multiple priorities, deadlines, and high-volume administrative activity.
  • Proficiency with Microsoft Excel and reporting tools; ability to analyze inventory reports and identify variances requiring follow-up.
  • Strong written and verbal communication skills with the ability to work effectively across Sales, Service, Accounting, vendors, and leadership.
  • Sound judgment, follow-through, and a high level of accountability for data accuracy and completion of assigned work.
Preferred Qualifications
  • Prior experience in equipment inventory, heavy equipment, crane, construction equipment, automotive, or a related industry.
  • Experience with Karmak and Airtable or comparable ERP, inventory, or workflow management systems.
  • Experience supporting floorplan or bank inventory audits, equipment freight, bills of lading, dealer plates, temporary tags, and/or equipment sales transactions.
