  • Proficient in MS Word, Excel, PowerPoint, and the Internet
  • Excellent verbal and written communication skills
  • Professional appearance and telephone manner
  • Must have good command of the English language, oral and written
  • Must be proficient/skilled in multitasking
  • Ability to prioritize work and devise own work pattern
  • Must maintain confidentiality of staff, client records, and information
  • Must maintain HIPAA privacy guidelines and regulations

Responsibilities

  • Provide administrative support for the Administrative Division and senior leadership
  • Reception, answer phones, greet guests, and maintain conference room schedules
  • Manage correspondence, calendars, word processing, and special projects for senior leadership
  • Interact with internal and external vendor contacts
  • Coordinate employee recognition programs, service awards, EMS Week, and retirement celebrations
  • Assist senior leadership and medical directors with scheduling and planning meetings and events
  • Routinely visit other office sites and/or the hospital
  • Attend meetings or work remotely from the hospital campus when required

Job description

Responsibilities
  • Provide administrative support for the Administrative Division and senior leadership
  • Provide reception, answer phones, greet guests, and maintain conference room schedules
  • Manage correspondence, calendars, word processing, and special projects for senior leadership
  • Interact with internal and external vendor contacts
  • Maintain and update policies for the Policy Council
  • Coordinate employee recognition programs, service awards, EMS Week, and retirement celebrations
  • Assist senior leadership and medical directors with scheduling and planning meetings and events
  • Report office equipment failures to appropriate departments
  • Maintain office supply inventory and reorder supplies as necessary
  • Compile and submit miscellaneous reports as requested
  • Complete special projects assigned by leadership
  • Coordinate and schedule travel for Senior Leadership as needed
  • Develop and maintain trusting relationships with staff and management
  • Report sensitive and/or high-profile issues promptly to IEMS management
  • Perform other job-related duties as assigned
  • Routinely visit other office sites and/or the hospital
  • Attend meetings or perform work remotely from the hospital campus when required
Requirements
  • Associate's degree preferred
  • May substitute a minimum of 5 years of experience within the office environment in an administrative role in lieu of degree
  • Excellent office management abilities
  • Strong organizational, interpersonal, problem-solving, and decision-making skills
  • Strong ethical and professional standards when dealing with confidential information
  • Proficient in MS Word, Excel, PowerPoint, and the Internet
  • Excellent verbal and written communication skills
