Job summary

Jobtailor is seeking an experienced senior administrative professional to support the Chair of Emergency Medicine, the Department Administrator, faculty, and residents. You will manage calendars, coordinate travel, draft correspondence, and prepare meeting materials.

This role requires strong MS Office skills, the ability to handle confidential information, and experience with Workday, Box, and SharePoint. A bachelor’s degree or equivalent experience is required.

Qualifications

  • Bachelor's degree in business administration, finance, or related field with 2 years of administrative support experience.
  • High school diploma/GED with 6 years of administrative support experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Proof of legal authority to work in the United States on the first day of employment.
  • Successful completion of pre-employment background check and substance abuse testing.

Responsibilities

  • Provide senior-level administrative support to the Chair of Emergency Medicine, Department Administrator, faculty, and resident physicians.
  • Manage calendars, meetings, travel arrangements, correspondence, and departmental activities.
  • Coordinate communications with faculty, staff, and other campus departments.
  • Prepare presentations, reports, correspondence, meeting materials, and minutes.
  • Maintain departmental spreadsheets, databases, files, and records.
  • Process and reconcile travel expenses and the department’s BTA card account.
  • Procure supplies and services and process purchase requisitions in Workday.
  • Identify appropriate cost centers for departmental expenses.
  • Serve as departmental timekeeper and assist with screening applicant resumes.
  • Track faculty and resident expenditures from designated fund accounts.
  • Manage general office operations.
  • Protect sensitive and confidential information.
  • Perform other duties as assigned.

Job description

Requirements
  • Bachelor's degree in business administration, finance, or related field plus two (2) years of administrative support experience, OR high school diploma/GED plus six (6) years of administrative support experience
  • Proficiency in Microsoft Office, Word, Excel, and PowerPoint
  • Preferred: organizational software skills including Box, Adobe Suite, RedCap database development and management, Workday, professional-caliber social media communications, and SharePoint
  • Proof of legal authority to work in the United States on the first day of employment
  • Successful completion of pre-employment criminal background check and substance abuse testing
