Job summary

OpenTech Alliance, Inc. seeks an International Operations & Logistics Coordinator in Phoenix to manage global shipping, inventory coordination, and order accuracy.

You will ensure timely documentation, payment verification, and cross-functional collaboration across sales, operations, and finance. Qualifications

Responsibilities

• Coordinate international air and ground shipments, tracking them and resolving delays, damages, or discrepancies.
• Prepare and maintain international shipping documentation (invoices, packing lists, bills of lading, origin certificates).
• Communicate with freight forwarders, customs brokers, carriers, overseas partners, and customers.
• Ensure compliance with international shipping standards, regulations, and trade requirements.
• Validate inventory with domestic and international warehouses, reconcile discrepancies, and maintain records.
• Request and compare international shipping quotes from carriers and freight forwarders.
• Prepare and process invoices for international hardware orders and verify before billing.
• Confirm payment before shipment release and track payments.
• Review and approve DocuSign agreements and sales orders with pricing, quantities, Incoterms, delivery dates.

About the Role

OpenTech Alliance is seeking an International Operations & Logistics Coordinator to manage global shipping activities, inventory coordination, order accuracy, and cross-functional collaboration.

You will keep international logistics running smoothly — ensuring accurate documentation, timely payment verification, and seamless coordination between internal teams, customers, and external partners. It is a detail-driven role well suited to someone who enjoys juggling multiple shipments and orders while keeping everything accurate and on schedule.

Key Responsibilities

• Coordinate international air and ground shipments, tracking them and proactively resolving delays, damages, or discrepancies
• Prepare and maintain international shipping documentation, including commercial invoices, packing lists, bills of landing, and certificates of origin
• Communicate with freight forwarders, customs brokers, carriers, overseas partners, and customers
• Ensure compliance with international shipping standards, regulations, and trade requirements
• Validate inventory with domestic and international warehouses, reconcile discrepancies, and maintain accurate records
• Request and compare international shipping quotes from carriers and freight forwarders
• Prepare and process invoices for international hardware orders and verify accuracy before customer billing
• Confirm payment before shipment release, and track, follow-up on, and confirm receipt of international payments
• Review and approve DocuSign agreements and sales orders, verifying pricing, quantities, foreign currency, Incoterms, delivery dates, and compliance before release
• Collaborate across sales, operations, warehouse, finance, and compliance teams, and support audits and process improvements
