Job summary

LiveTrends Design Group is seeking an Inside Sales Administrator / Freight Coordinator in Florida to manage daily inbound ocean and air shipments, maintain visibility, and coordinate with brokers for on-time delivery.

The role requires strong SAP, CRM, and MS Excel skills, excellent communication, and project management abilities; occasional Saturday work may be required. You will support supply chain processes and ensure documentation accuracy.

Qualifications

  • Experience in Inside Sales Administration or Freight coordination.
  • Strong SAP, CRM, and Excel proficiency.
  • Ability to track shipments and communicate with internal teams.
  • Willingness to work occasional Saturdays.
  • 2-3 years of relevant experience in logistics or freight coordination.

Responsibilities

  • Track inbound ocean and air shipments to the United States.
  • Maintain real-time milestones from booking to final delivery.
  • Update shipment data in Monday.com, Shipwell, SAP, and other systems.
  • Ensure SAP container creation links to purchase orders.
  • Organize complete shipment documentation (Invoices, Packing List, B/L, ISF).
  • Coordinate with customs brokers for ISF filings and clearance.
  • Communicate ETA changes and issues to internal stakeholders.
  • Maintain inbound delivery schedules with receiving teams.
  • Report detention, demurrage, storage and other charges.
  • Provide weekly updates to Accounting and Supply Chain on arrivals.
  • Maintain vendor scorecards for on-time performance and documentation accuracy.
  • Develop and maintain SOPs for international shipment tracking.
  • Train team members to provide backup support.
  • Support other team members as needed.

SPECIFIC ACCOUNTABILITIES
  • Daily tracking and tracing of all inbound ocean and air shipments into the United States.
  • Maintain real-time visibility of shipment milestones including booking, departure, transshipment, arrival, customs clearance, drayage, and final delivery.
  • Maintain and update shipment data in Monday.com, Shipwell, SAP, and other designated systems.
  • Ensure timely SAP container creation and accurate linkage to purchase orders.
  • Organize and maintain complete shipment documentation (Commercial Invoice, Packing List, Bill of Lading/AWB, ISF, Arrival Notices, etc.).
  • Coordinate with customs brokers to ensure timely ISF filings and customs clearance.
  • Proactively communicate ETA changes, delays, or documentation issues to internal stakeholders.
  • Maintain accurate inbound delivery schedules with receiving teams.
  • Track and report detention, demurrage, storage, and other accessorial charges.
  • Provide weekly updates to Accounting and Supply Chain on estimated arrivals.
  • Maintain vendor scorecards measuring on-time performance and documentation accuracy.
  • Develop and maintain standardized SOPs for international shipment tracking.
  • Train other logistics team members to provide backup support when required.
  • Support other team members as needed.
SPECIFIC SKILLS & REQUIREMENTS
  • Ability to serve as a role model and uphold the LiveTrends Vision, Mission, and Values
  • Passion for design, fashion, and home décor are a big plus.
  • Creativity and solution-driven way of thinking
  • Clear understanding of Logistics, Freight Lanes, Negotiations and Operational Fulfillment to Mass Marketing, Big Box and E-Commerce Retail
  • A strong history of commercial growth in current / most recent position within the last three years
  • Willingness to work most Saturdays for brief period (~1 hour per week)
  • 2-3 years of proven work experience as an Inside Sales Administrator, Freight Broker, Customer Service Manager, or relevant role
  • High level of expertise in databases and information analysis
  • Solid experience with SAP, CRM software and MS Office (particularly MS Excel)
  • Practice good time management and task prioritization
  • Willingness to learn and adapt to ever-changing customer and internal requirements
  • The desire to be part of a family of like-minded and hard-working colleagues is a bonus
  • Excellent project management skills
  • Excellent listening, negotiation, and presentation abilities
  • Excellent verbal and written communication skills
POSITION REQUIRED PPE:
  • Closed-toe shoes (Sneakers or boots).
  • Protective eyewear when required by supervisor.
  • Disposable masks are optional but encouraged when handling moss and dusty materials.
  • Back safety belt required when lifting more than 25lbs.
  • Gloves when handling chemicals and optional when handling raw materials.
  • Appropriate clothing, following the company’s dress code.
