Qualifications

  • Bachelor’s or Master’s degree in International Relations, Higher Education Administration, Law, Business Administration, or a related field.
  • Experience in international student support, immigration services, or higher education administration.
  • Strong understanding of German immigration processes and administrative procedures.
  • Experience working with international students and external stakeholders is highly desirable.
  • Excellent organizational and interpersonal skills with a service-oriented mindset.
  • Ability to work independently while collaborating effectively within a multicultural environment.

Responsibilities

  • Provide guidance and support to international students regarding German bureaucratic and immigration-related processes (e.g., residence permits, city registration, job-seeking visas).
  • Support students throughout their arrival and settlement process in Germany.
  • Deliver pre-arrival guidance, information sessions, workshops, and individual student consultations.
  • Ensure students receive clear, structured, and timely information throughout their journey.
  • Assist students in understanding administrative requirements and available support services.
  • Coordinate visa and residence permit-related processes from pre-arrival preparation through post-study pathways.
  • Support students with documentation preparation, submission processes, and follow-ups.
  • Act as a key contact person between students, the university, external legal partners (e.g., SERS), and relevant authorities.
  • Monitor ongoing cases, identify potential delays, and support timely resolution.
  • Maintain accurate records and documentation related to student immigration cases.
  • Escalate complex cases to relevant internal or external stakeholders when required.
  • Support communication and coordination with local immigration authorities in Berlin and Potsdam.
  • Assist students in preparing documentation and appointments with authorities.
  • Coordinate information exchange between students, university teams, legal partners, and external stakeholders.
  • Support case clarification and follow-up activities with external partners.
  • Ensure international student services are delivered in line with German immigration regulations and institutional policies.
  • Maintain up-to-date knowledge of relevant administrative procedures and regulatory requirements.
  • Translate complex requirements into practical guidance for students and colleagues.
  • Support the continuous improvement of international affairs processes and workflows.
  • Support the administration of mobility programs and funding opportunities such as Erasmus+, PROMOS, and DAAD.
  • Coordinate student mobility processes, including applications, documentation, and communication.
  • Support the organization of international orientation programs, workshops, and events.
  • Assist with the coordination of short-term mobility formats such as summer and winter schools.
  • Contribute to international partnership activities and academic collaboration initiatives.
  • Work closely with admissions, academic departments, career services, and administrative teams to support international students.
  • Collaborate with International Affairs colleagues across campus locations.
  • Support daily operations and ongoing projects within the International Affairs function.
  • Assist with tracking and reporting key metrics related to student mobility and immigration processes.

Your Responsibilities

Your Role
You will support the International Affairs function as a central point of contact for international students, coordinating key processes related to immigration, mobility, and international student services. In this role, you will provide direct student guidance, coordinate administrative workflows, and ensure a smooth, compliant, and student-centered experience throughout the student lifecycle — from pre-arrival to post-graduation.
You will work closely with internal departments, external legal partners (e.g., SERS), and local immigration authorities in Berlin and Potsdam to support students with accurate information, timely communication, and effective coordination of international affairs processes.

Key Responsibilities
International Student Advisory & Support
  • Provide guidance and support to international students regarding German bureaucratic and immigration-related processes (e.g., residence permits, city registration, job-seeking visas)

Your profile
  • Bachelor’s or Master’s degree in International Relations, Higher Education Administration, Law, Business Administration, or a related field
  • Previous experience in international student support, immigration services, student services, or higher education administration
  • Good understanding of German immigration processes and administrative procedures
  • Experience working with international students and/or external stakeholders is highly desirable
  • Strong organizational skills with the ability to manage multiple cases and priorities simultaneously
  • Excellent communication and interpersonal skills with a service-oriented mindset
  • Ability to work independently while collaborating effectively within a multicultural environment
  • Proactive, structured, and solution-oriented approach to problem-solving
